Wise May are looking for an Events Administrator to join a London based membership organisation supporting the planning and back office administration of events while liaising with internal teams and external stakeholders. This is a great opportunity to join a friendly team, where member experience truly comes first.
This is a full time 6 month Fixed Term Contract, Monday to Friday, 37.5 hours a week with hybrid working (3 days in the office, 2 days remote). This role is paying upto £31,000 FTE (£15,500 pro rata).
Due to scheduled company events, candidates must be fully available during the weeks commencing 13th July and 20th July, with no pre-booked leave during this period.
Events Administrator duties and responsibilities:
* Support the coordination of meetings and events, including invite management, agenda preparation, speaker management, and minute production.
* Manage and update Excel trackers to provide oversight on event RSVPs, VIP Planning Tours and staff resourcing for events.
* Provide day-to-day administrative support to the team and senior leaders.
* Respond to requests and enquiries in a timely and efficient manner.
* Assist with internal communications, political monitoring services, and activity trackers.
* Support finance processes including payments, invoicing, purchase orders, and hotel bookings.
* Liaising with external venues regarding catering, logistics etc.
* Attend and provide onsite support at external events and workshops.
* Provide ad hoc secretarial support to senior stakeholders as appropriate.
Events Administrator key skills and experience required:
* Strong organisational and coordination skills across all aspects of event administration.
* Excellent administrative and secretarial abilities, including diary management, meeting coordination, and minute taking.
* Advanced Excel skills, with strong knowledge of key formulas and functions.
* Confidence working independently while collaborating effectively with teams and external partners.
* Focused on delivering exceptional customer service.
* Ability to manage multiple tasks, work under pressure, meet deadlines, and adjust to changing priorities.
* Strong written and verbal communication.
* Handling sensitive information with discretion.
* Skilled in MS Office Suite (Word, Excel, PowerPoint, Outlook) and CRM systems.
* Knowledge of membership organisations and UK political system is desirable.
* Must be able to obtain DBS clearance and undergo security clearance procedure.
