Do you enjoy working in an exciting and challenging environment? We are looking for an experienced Medical Secretary to join us in St Luke's Cancer Centre working on a permanent basis Monday to Friday at the Royal Surrey Hospital NHS Foundation Trust.

We are looking for an individual who can provide comprehensive secretarial and administrative support to the Oncology team. As an experienced Secretary, you will possess excellent communication skills, good IT skills and ideally, a working knowledge and experience of working within patient care or customer care focused roles. NHS experience is desired but not essential.

The successful applicant will be able to demonstrate that they can work upon their own initiative whilst working well within a team. The role will include a range of secretarial and administrative duties encompassing reviewing and editing patient letters and clinical correspondence using dedicated transcription software (Dictate IT), ensuring said correspondence meets national turnaround targets, learning and gaining an understanding the clinical team and their medical rota. The role will require extensive communication with the Rota Manager, Appointments Booking office and a number of off site clinics. Being the first point of contact for assigned clinical team patient queries amongst other general administrative duties will be an essential part of the role thus requires an empathetic and can do attitude.


Main duties of the job

The secretary works within the SLCC Oncology team providing a comprehensive administrative and secretarial service to the Oncology Consultants and associated clinical teams including liaison and collaborative working with staff based both on site at RSH, off site at a variety of hospitals and nominated hospices.

Job responsibilities

To provide a full range of medical secretarial & personal assistant service to consultants and their clinical teams.

Manage own workload, demonstrate efficient organisation and assist the oncology Team Leader in overseeing the smooth effective operation of the service.

To work autonomously within a team; providing full organisational support to the consultants practice and their team.

To ensure procedures and working practices are in place so that the Specialty and Trust can deliver a service that meets the standards and targets that have been set.

To provide a considerate, patient focused service in all dealings with patients and their relatives and with staff around the hospital.

The department encourages personal development and you will be expected to take an active part in the units PDP and Mandatory Training processes.

The unit is busy but the successful candidate will join a friendly, dedicated team who know the specialty well and who will be able to help you settle in.

Person Specification


Qualifications

* Good general standard of education to GSCE level or equivalent including English
* RSA II or equivalent in word processing / audio typing
* RSA III, Medical secretarial qualification (BSMS Certificate) or equivalent


Knowledge

* Broad knowledge of medical terminology,. .
* Knowledge of basic anatomy and physiology
* Demonstrate ability to prioritise workload and to adapt effectively to changing priorities.
* Knowledge of NHS priorities and understanding of the guidelines and targets in own area of work.
* Working knowledge of a range of software packages, eg MS Word, Excel and PowerPoint and other locally used databases eg. Pathology Laboratory Information System (WinPath) or similar.
* Evidence of establishing and maintaining effective filing systems
* Excellent spelling and grammar
* Extensive experience in a medical environment, with at least some working as a medical secretary
* Experience of working in a busy environment
* Experience of dealing with the general public
* Experience of mentoring, training or supervising others
* Awareness and understanding of NHS issues
* Experience in using patient administration systems
* Experience of working in a large, complex organisation and a multi-disciplinary environment.
* Excellent telephone manner
