Overview
The Technology, Design, and Technical Education department is seeking a Staff Assistant for the Health Professions programs, in which will provide support across the Price, Blanding, and Moab Campuses. The successful candidate’s primary responsibilities include coordinating travel logistics, assisting with accreditation documentation, liaising with regulatory bodies to ensure compliance, providing office support, scheduling appointments, maintaining records, initiating travel services requests and receipt attaching. The Staff Assistant also facilitates communication between faculty, students, advisors, and external partners, and may coordinate events, such as departmental meetings.
This position is located in Price, Utah.
Responsibilities
1. Performs office duties, including answering phones, directing calls to appropriate parties, data entry, filing, calendar management, and other general duties as assigned.
2. Screens inquiries and requests; uses judgement and tact to prioritize schedules, calendars, and meetings.
3. Provides administrative support, including scheduling appointments, coordinating meetings/conferences, and maintaining/ordering office supplies.
4. Serves as a liaison with other departments and constituencies in the resolution of matters concerning the activities and operations of the department.
5. Composes and word-processes various standard documents, correspondence and reports.
6. Prepares agendas, coordinates meetings, and transcribes meeting minutes.
7. Maintains current personnel files.
8. May track faculty tenure and promotion processes.
9. Plans and executes events, including banquets, receptions, retreats, etc.
10. Assists with the hiring, training, and supervision of other office personnel.
11. Performs other miscellaneous duties as assigned.
12. Attaching receipts to Purchase Card transactions for the Health Profession program cardholders
13. Initiate travel authorization requests and reimbursements.
14. Supports departmental accreditation and compliance efforts through data collection and documentation.
15. Support faculty with course scheduling, and syllabi management.
16. Serve as a point of contact for students regarding program requirements, deadlines, and forms.
17. Communicates with health professions advisors regarding potential and enrolled students.
18. Track student progress through program requirements (background checks, drug screens).
19. Maintain confidential student health records in compliance with FERPA and HIPAA.
20. Processes payments for student certification exams and coordinates with individual regulatory bodies for health care programs to ensure compliance and timely submissions.
Qualifications
Minimum Qualifications:
21. Two years of experience in an office setting or an associate degree/vocational training is required.
Knowledge, Skills, and Abilities:
22. Skilled with computer programs, including spreadsheets, relational databases, statistical packages, presentation software, and graphic packages.
23. Excellent critical thinking skills.

25. Skilled with basic office equipment, including printers, copiers, and telephone systems.

27. Strong verbal and written communication skills.
