* Salary: Circa £28,200 per annum
* Location: DPD Cardiff, Wentloog Corporate Park, Wentloog Road, Rumney, Cardiff, CF3 2ER
* Days of Work: Monday to Friday
* Hours of Work: 08.00 - 16.30
We are looking for a dedicated finance administration professional to support the regional finance and operations team. The role involves providing administrative services in depot operations and ensuring processes meet company policy.
Key Responsibilities
* Ensure the day‑to‑day cost reporting for your depot(s) is dealt with in a timely and effective manner
* Weekly payroll management and processing for depots under your remit
* Accurately record purchase orders, process and code invoices for external resources
* Keep absence management records up to date
* Provide cover and be cross‑trained with the rest of the finance administration team within the network
* Administer stocks of uniforms and operational stationery, identify needs and raise authorised orders via the computerised stock ordering system
* Order other stock as requested and apply cross charges where applicable
* Add all new starters, agency and cover drivers to training platforms
* Administer the complete self‑employed process daily, including additional payment processing, stop merging, updating vehicle mileage records and financial reconciliation to depot reports
* Carry out driver licence validation, own van driver documentation and forklift truck certificate checks, and organise refresher training
* Administer fuel stocks and orders
* Carry out local operational quality audits and maintain operational controls
* Comment on SOP for vehicles not being used
* Upload compliance and HGV documentation to Data Studio
* Check driver‑reported defects have been actioned for fleet vehicles using the defect book and app
* Support completion of employee new‑starter onboarding
* Carry out administrative tasks related to absence management
* Draft letters for D&G and AMP processes
* Collate information and communicate to HR admin for processing on employee matters (e.g., maternity, paternity, change of hours, change of work pattern, leavers)
* Adhoc duties as required
Qualifications
* Strong IT literacy, Microsoft Office / G Suite programmes
* Proven experience in a fast‑paced administrative role, ideally within the transport industry
* Strong analytical skills with awareness of quality assurance and auditing
* Strong communication skills with a confident telephone manner
* High level of accuracy, self‑motivation and organisation
* Ability to self‑manage workload and prioritise tasks according to deadlines, importance and urgency
