Outline of the job
:
The role of the Operations Manager is to provide overarching management of projects to ensure projects are delivered on time, on budget and within the project scope, in the most efficient way possible.
The Operations Manager will be based in the UK.
What you’ll be doing…
1. Manage all financial, contractual and logistical elements of projects from inception to close-out.
2. Understand client contracts, legal and commercial requirements of each project to ensure effective delivery.
3. Ensure project objectives are realised as deliverables, within the project's scope and terms and conditions.
4. Oversee all financial elements of the project: including reviewing supplier and contractor invoices, overseeing expense claims from staff and contractors traveling for project activities, working alongside Project Accountants to create monthly client invoices and accompanying budget forecast updates, and reporting to the Interim Finance Director and other members of senior leadership on project expenditure, profitability and forecasting.
5. Coordinate directly with the client and their respective commercial team on providing project expenditure updates on a weekly, monthly and quarterly basis.
6. Coordinate global travel for multiple delegations of travellers, including in hostile environments. Be responsible for ensuring necessary travel, accommodation, insurance, security and expense arrangements are in place well in advance of travel.
7. Work with the project management team to create, manage and regularly update all project documents.
8. Ensure the project works to Zinc’s internal policies and procedures.
9. Resource all projects in line with requirements and budgets using a mixture of internal staff & freelancers, making sure all contracting is in place.
10. Obtain a good understanding of Zinc’s software and be able to troubleshoot any problems experienced within the team.
11. Develop a strong understanding of social media listening tools and research software subscriptions used within the agency.
12. Manage a team of Project and Travel Coordinators, where necessary.

Requirements
What we need from you…
13. Experience in managing grants from inception to close-out.
14. Prior experience with FCDO operating procedures, regulations, and reporting requirements.
15. Proven experience of managing multiple travel activities simultaneously and knowledge of travel management processes.
16. Experience working with project-based staff, providing logistical and financial oversight on projects.
17. Experience in budget management, and experience of various accounting software.
18. Demonstrated experience in coordinating and cooperating with a wide range of stakeholders from diverse backgrounds.
19. Experience in reviewing and approving project procurements, grants, and purchase order agreements.
20. Fluency in English.
21. 3 years of experience in a similar role.
22. Line management experience is considered an asset.
