This role sits at the heart of our Outdoor Roadside Operation, providing essential administrative support across a fast-paced and constantly evolving environment. You’ll play a key part in keeping things running smoothly, ensuring teams on the ground are supported and operations stay on track.
No two days are the same. While you’ll have core responsibilities, you’ll also need to be adaptable, ready to respond to changing priorities and step in where needed. What will I be doing?
* Managing accurate data collection and processing across bespoke systems and Microsoft 365 tools, including SharePoint, Forms and Excel
* Updating resource records and coordinating tool check schedules, ensuring compliance and escalating overdue actions
* Supporting new starter administration and maintaining organised, up-to-date records
* Planning and coordinating engagement activities, including conferences, events and stakeholder sessions
* Organising venues, logistics, materials and gifts to ensure smooth event delivery
* Liaising with managers at all levels, resolving queries efficiently and professionally
* Coordinating financial activities such as invoice processing, stationery orders and IT equipment purchases
* Providing ad hoc support to senior leadership, including arranging meetings, taking notes and maintaining action logs
* Gathering and analysing information to support decision-making, particularly within contraventions and NIPs processes
* Improving and streamlining processes using tools such as SharePoint, Forms and Power Automate
What do I need?
* Strong communication skills, both written and verbal, with a professional and approachable manner
* Confidence in working collaboratively with HRSS, Talent Acquisition and wider business teams
* Ability to organise and coordinate tasks such as hotel bookings, onboarding and training schedules
* Good attention to detail when updating start dates, checks and employee records
* Self-motivation and initiative, with the confidence to take ownership of tasks
* Team-focused mindset, with the ability to contribute positively in a busy environment
* Flexibility to manage changing priorities and meet tight deadlines
* Discretion when handling sensitive and confidential information in line with data protection requirements
* Customer-focused approach, with a commitment to delivering a high standard of service
* Positive attitude and willingness to go the extra mile to support colleagues and stakeholders
