PA to the Executive Leadership Team
Working Pattern: 25 hours per week (5 hours per day), Monday-Friday, term time only. Flexible working hours available, but fully office based.

Our client is seeking a highly organised, proactive and discreet Personal Assistant to provide administrative and secretarial support to their Executive Leadership Team of an educational trust. This is a key role supporting the CEO ad 4 directors and offers variety, responsibility, and the opportunity to contribute to the smooth running of the organisation.
The successful candidate will ensure the Executive Team is fully supported across diary management, communications, event organisation, data handling, and project work. This role requires exceptional attention to detail, strong communication skills, and the ability to manage sensitive information with absolute confidentiality.
Your role:
Provide a professional secretarial and administrative service to the Executive Team, ensuring confidentiality at all times
Type minutes, agendas, reports, correspondence and other documents to a high standard
Manage filing systems (electronic and paper), photocopying, incoming/outgoing mail, and general office administration
Maintain the diaries of the Trust and Executive Team, arranging internal and external meetings
Coordinate travel arrangements and hotel bookings; manage and submit monthly expenses claims
Raise purchase requisitions and process invoices as required
Administer meetings for the Head Teachers' Advisory Board
Undertake projects and tasks allocated by the Executive Team
Provide administrative support for maintaining the Trust Risk Register
Liaise with parents, external agencies, local schools, and the Company Secretary & Governance Professional
Issue invitations to guests and sponsors for Trust events
Assist with the organisation of Trust events, including researching and booking venues and speakers for INSET and other training days
Manage external School Improvement visit arrangements and invoicing in liaison with the Director of Education
Act as Data Manager for the Central Team
Allocate, track and monitor online training for the Central Team
Support recruitment campaigns and onboarding processes alongside the Director of HR
Undertake data entry and payroll instructions in liaison with the external payroll service
Support the maintenance of the Trust website
Person Specification
Previous secretarial or PA experience
Ability to take concise and accurate notes/minutes
Strong ICT skills, including Word, Excel and other Trust software at intermediate level
Methodical, precise and conscientious in work tasks
GCSE Maths and English at grade C/4 or above (or equivalent)
Ability to work independently and as part of a team
Excellent organisational skills and a self-starting approach
Strong written and verbal communication
Ability to develop positive working relationships with colleagues
Flexible and adaptable approach to tasks
High level of confidentiality and understanding of GDPR and Data Protection
Availability to work 5 hours per day, Monday to Friday, term time only (flexible start/finish times)
