Our experience ranges from capital maintenance improvements across the existing prison estate and courts through to the delivery of the first new build prisons, HMP Five Wells and Fosse Way. Testament to our track record of delivery and capability in the custodial sector, Mace was appointed as delivery partner for a further four new prisons and then as Estates Delivery Partner (EDP) in 2021 to deliver additional prison places through expansions in the existing prison estate. Together the delivery partner services provided via the New Prisons programme and Estates Delivery Partner contract make up the New Prisons Capacity programme. As delivery partner, Mace is positioned to support the MoJ in delivery of their strategic objectives including delivering swift access to justice, improving prisoner rehabilitation and staff wellbeing through a more modern and greener prison estate. The MoJ’s investment will see the creation of 20,000 new prison places across England, boosting efforts to cut crime and kickstart the economy with new jobs and opportunities. This has supported the sustainable growth and retention of a high-performing team with the right skills, knowledge, experience and behaviours to meet the MoJ’s project and programme requirements. The Role: The Assistant Information Manager will manage the electronic document management system and support the project teams to ensure information management is aligned to industry standards. T he role is to learn, understand, develop and implement processes described within ISO19650 including how the information is produced and assured for digital delivery. You'll be responsible for: To be responsible for ensuring the electronic document management system (EDMS) is configured to the principals of the common data environment (CDE) as described in BS 1192\:2007 or ISO 19650 and Client Requirements. Configure and manage the EDMS including; user account set up, access permissions, workflow configuration, the generation of usage/content reports and general system administration. Contribute to the creation and implementation of document management protocol(s). Ensure the agreed project information naming protocol is implemented and compliant in the EDMS. Support project leads by providing system reports to identify incoming and outgoing project documentation, requests for information (RFIs), commenting and transmittals. Ensure projects are archived appropriately with user permissions controlled and removed as required. Interface with internal and external stakeholders to support the use of the EDMS and be the point of contact regarding document management. To include liaising with the EDMS software vendor as and when required to trouble-shoot problems. Escalate overdue/outstanding documentation with relevant project stakeholders and produce reports. Follow up overdue documentation from Consultants and Supply Chain. Train project internal team members to view information electronically as agreed with project leadership. Keep project leadership informed if issues arise regarding non-compliant use of the EDMS. Maintain responsibility for own workload, continually developing skills and knowledge. Work as a collaborative member of the team, facilitate the sharing of knowledge and best practice to the wider business. You will share your experience of using the EDMS within your project teams, assisting to upskill and educate others where required. Supporting cultural change within the business unit/project by promoting a digital approach to information management, continually sharing best practice. Works collaboratively towards the common goal of net zero carbon transition and share responsibility for the proactive identification and management of the associated carbon emissions and reductions during the delivery of work. You’ll need to have: To be considered for this role it is essential that you have experience using electronic document management systems (Viewpoint for Projects) Experience with using the Microsoft 365 suite of tools Awareness of BS 1192\:2007 and/or ISO 19650 Ability to work collaboratively within a team Excellent organisational skills with good attention to detail Good communicator Mace is an inclusive employer and welcomes interest from a diverse range of candidates.
