Our client is a very early stage financial services provider operating in the personal finance and business banking space. They aim to launch their business focusing on credit cards, then expand into personal and business current accounts, and eventually apply for a banking license.
They have substantial funding, making this opportunity particularly exciting, more than many well-known fintechs at the same stage.
The role of the Executive Assistant / Office Manager
The Office Manager/Executive Assistant is responsible for organizing and coordinating office administration and procedures to ensure efficiency, effectiveness, and safety. They will also provide high-level administrative support to the Managing Director and occasionally to the future Board of Directors.
* Manage office organization, oversee the Reception team, liaise with IT support, manage projects, ensure deadlines are met, and handle company documents securely and confidentially.
* Coordinate calendars, schedule meetings, handle correspondence, and manage human resource matters, acting as a liaison between management and staff.
* Perform duties professionally, adhering to policies and guidelines at all times.
Duties & Responsibilities
The main responsibilities include, but are not limited to, the duties listed below. This outline is subject to review and modification based on business needs, with training provided where appropriate.
Main Duties
* Organize office operations, ensure health and safety compliance, and GDPR adherence.
* Maintain effective electronic and physical filing systems, develop data management procedures, and oversee data protection, retention, and disposal.
* Coordinate with IT support to ensure efficient office operation, procure hardware/software, and review special projects.
* Manage the company website and PR activities, including updating web pages and social media accounts with company news.
* Use the Property Management System (Qube) for internal reporting and data analysis.
* Manage office supplies, liaise with suppliers, and ensure timely replenishment.
* Recruit, train, mentor staff, maintain employee and training records, and propose developmental opportunities. Handle disciplinary actions as needed.
* Update the Employee Handbook to ensure legal compliance.
Administrative Duties
* Schedule appointments and meetings, resolve diary conflicts, attend meetings, take minutes, and circulate them.
