we’re looking for a property administrator to join us on our continuous journey of true nourishment
purpose
the property administrator will provide efficient and accurate administrative duties, assisting the property team across all the property functions of estates, construction, acquisitions and facilities
responsibilities
* to provide proactive, efficient, and effective property administration support to the heads of departments as required
* inputting information into and keeping up to date databases and trackers that the property team use
* invoice management including processing invoices using the internal finance system and assisting with day-to-day invoice queries from finance and external parties
* maintaining accurate records and filing systems
* assisting the design team with filing, organising and maintaining a photo archive for our new sites and refurbs
* coordinating property access/inspections for landlords, external consultants, contractors and project managers
* management of empty property contract including arranging access requests, approving invoices and reading and actioning weekly property reports
* overseeing the property PO/CPN system working with finance and external suppliers to ensure it is fully functional and aligned with internal policies
* responsibility of issuing property change forms and keeping the property change tracker up to date
* general administration support for all projects across the team including new restaurant openings and refurbishments
* preparation and distribution of agendas and minutes for periodic property meetings
* coordination of the signing process for legal documents
* invoice and debt management for sublet properties
* responsibility for responding to all property information requests which will include requests for lease details, drawings and project timelines
* management of inventory for storage location
requirements
* ability to work without supervision in a confident manner to support the heads of departments and the wider property team
* excellent time management and organisational skills
* excellent at excel, powerpoint and Word
* Previous experience working within property management (preferable)
