Job Title: Office and Project Administrator

Location: Exeter

Salary: £26,000 - £28,000 per annum, depending on skills and experience

Job Type: Permanent, Full Time

Hours: Monday to Friday, 9am - 5.30pm, 37.5 per week, flexible hours offered

About Us

Rand Associates provides surveying services, consultancy, and software products to the social housing sector. Our clients include housing associations, local authorities, building contractors and consultants. We have offices in Reigate, Birkenhead, and Exeter.

We are part of the M3 Housing group of companies. M3 publish the M3NHF Schedule of Rates and a range of associated products used for property maintenance, including M3Central, M3Vision and M3Pamwin.

About The Role

This role combines three primary elements; data analysis and processing, general administrative duties, and the administration of the Exeter office. You will provide support for a small team working remotely across the UK ensuring that they have everything that they need to complete their day to day tasks effectively. You'll assist in reviewing the work that they produce to ensure that it's accurate and complete.

You'll help colleagues prepare data and reports for our clients you'll be expected to use various IT systems to process documentation. You'll also be liaising with clients and their residents and you'll be expected to respond to queries.

The Key Duties For This Role Are


* Reviewing incoming data and resolving discrepancies
* Data processing
* Data entry from multiple sources
* Logging team progress
* Administration of the Exeter office
* Preparing tender documentation
* Assisting in project setup and mobilisaiton
* Management of surveying equipment and software
* Preparation of invoices and other documents
* Setting up, attending and chairing meetings as required
* Minuting meetings, managing action trackers and distributing documentation as required
* Verbal or written reporting to Head Of roles, Directors and others as required
* Answering ad-hoc client, customer, and resident queries

In Addition, The Candidate May Be Asked To

* Attend interviews/presentations for projects
* Assist with bidding for projects
* Attend Company events as required

The Candidate

The ideal candidate will excellent organisational skills and a good understanding of data. They will:

* Be personable, have good communication skills and a willingness to help people.
* Have a positive attitude towards continuous learning and improvement.
* Be able to work autonomously and be able to develop efficient processes.

Essential Requirements

* A minimum of GCSE Grade C or above for English and Maths, or equivalent.
* The ability to work as part of a team.

Desirable Skills

* A good knowledge of MS Excel and other MS packages
* An understanding of construction related data
