With growing international operations, the business requires structured, senior executive support to ensure leadership time, priorities, and execution are tightly managed across regions. /p h3 Role Summary /h3 p The Executive Assistant's (EA) will act as a b primary strategic and operational support partner /b to the CEO and COO, while b directly managing and overseeing the India-based PA /b. /p p This role is b not administrative only /b. It is a b control, prioritisation, and governance role /b designed to ensure: /p ul li Executive time is protected /li li Information flow is filtered and accurate /li li Instructions are executed correctly across geographies /li li The PA function operates at a consistently high standard /li /ul p The EA's will be accountable for b what gets done, how it is done, and when /b - while execution support is shared with the India PA. /p h3 Key Responsibilities /h3 h3 Executive Support (UK-Led) /h3 ul li Own and control CEO & COO calendars, priorities, and scheduling strategy /li li Act as first-line gatekeeper for UK leadership time /li li Prepare briefing packs, agendas, summaries, and decision documents /li li Anticipate leadership needs and proactively flag conflicts, risks, or gaps /li li Manage sensitive and confidential matters with absolute discretion /li /ul h3 PA Oversight & Management (India) /h3 ul li Line-manage the India-based PA and set daily/weekly priorities /li li Delegate tasks clearly and monitor execution quality and timelines /li li Review outputs (emails, documents, itineraries, reports) before leadership exposure /li li Ensure instructions from CEO/COO are interpreted correctly and followed precisely /li li Coach, correct, and continuously improve PA standards and performance /li li Act as escalation point where clarity, urgency, or judgement is required /li /ul h3 Coordination & Communication Control /h3 ul li Be the single point of coordination between: /li li CEO / COO /li li India PA's /li li Senior leadership team /li li Track all actions, follow-ups, and deadlines to closure /li li Ensure no instruction, meeting action, or request is lost or duplicated /li li Maintain structured logs, trackers, and priority lists /li /ul h3 Travel, Logistics & Planning /h3 ul li Own end-to-end executive travel strategy (UK & international) /li li Review and approve travel plans prepared by the India PA /li li Ensure visas, itineraries, accommodation, and schedules are aligned to business priorities /li li Oversee expense reporting accuracy and compliance /li /ul h3 Operational & Business Support /h3 ul li Support leadership with: /li li Board and senior management preparation /li li Cross-functional coordination /li li High-priority initiatives and deadlines /li li Maintain executive filing systems and structured documentation /li li Ensure information is accessible, current, and decision-ready /li /ul h3 What Success Looks Like /h3 ul li CEO & COO are fully briefed, prepared, and uninterrupted /li li Calendars reflect true priorities, not noise /li li The India PA operates efficiently, confidently, and consistently /li li Instructions are executed correctly first time /li li Leadership trust the EA function completely /li /ul h3 Key Requirements /h3 h3 Experience /h3 ul li 6–10+ years’ experience as an Executive Assistant supporting senior leadership /li li Proven experience managing or supervising a PA or admin function /li li Experience working with international or offshore teams strongly preferred /li /ul h3 Skills /h3 ul li Exceptional organisation, judgement, and prioritisation /li li Strong leadership presence without ego /li li Ability to manage complexity, urgency, and confidentiality /li li Calm, authoritative, and solutions-focused /li /ul h3 Why This Role Is Critical /h3 p This position is the b control centre of executive operations /b. /p p The EA ensures leadership time is protected, decisions are supported, and the India PA function operates as an extension of the UK leadership office – not in parallel or in isolation. /p /div #J-18808-Ljbffr
