The Elections Directorate is responsible for a challenging and dynamic policy landscape, always in the public eye, covering electoral policy and law. This includes how elections are run, who can participate and how elections and campaigning are regulated.
The Directorate delivers changes that realise the Government Manifesto Commitments and other Ministerial priorities including lowering the voting age to 16 and improving voter registration processes. It is anticipated that this work will form part ofthe Government’s Major Projects Portfolio, which comprises the largest, most innovative and highest-risk projects and programmes delivered by Government.
This role sits in the Contract, Finance and Office Team within the directorate. The successful candidate will join a team personal assistants supporting the Elections Senior Leadership Team. This team is also responsible for managing cross-cutting directorate activities and materials; such as induction packs, mailing lists and awaydays.
Job description
As the PA and Business Support your responsibilities will include: Providing diary management for the Director and/or Deputy Directors, keeping well organised and accurate schedules. Ensuring that internal, cross government and external meetings are scheduled accordingly. Including, where necessary, that correct papers are available, meeting rooms are booked, and travel and accommodation arrangements are in place. Providing administrative support for the wider directorate; including but not exclusive to, awaydays, communications, induction packs, mailing lists, weekly stand-up agendas, and organograms. Taking ownership of key tasks ensuring they are delivered to a high standard and on time. Supporting broader office functions such as covering for PA colleagues, and managing corporate asks for the Directorate. Establishing effective working relationships, both across the directorate and with other PAs across the Department and beyond. Seek opportunities for continuous improvement, including how we use resources to support the directorate and leadership team.
Person specification
Excellent organisational skills, time management and ability to prioritise tasks. Ability to build and maintain relationships across the directorate and stakeholders. Strong verbal and written communication skills, tailored to suit the broader directorate and senior leadership. Ability to manage multiple work streams and ad-hoc duties. Ability to receive detailed instructions and deliver what has been requested. Excellent judgment and ability to maintain strict confidentiality when dealing with sensitive information. A good working knowledge of Teams, Outlook and the Microsoft Office products.
