We have an exciting opportunity for a Commissioning Documentation Coordinator to join our high-performing sales and marketing team.
A pivotal aspect of commissioning our live data centre projects is the collation and organisation of all technical documentation. This role requires the dedicated collection of all technical documentation during the testing, commissioning, and handover phases. You will ensure accuracy, distribution, compliance, version control, confidentiality, and maintenance of documentation for efficient retrieval.
You will work collaboratively as part of the project team, facilitating the sharing of knowledge and best practices with the wider team, clients, and other project stakeholders. You will maintain responsibility for your own performance, continually developing your skills and knowledge, assist with general administration as needed, and drive improvements within the document control scope. Travel is involved in this role, with some of your time spent on site and some in the office in Cheltenham.
Main Responsibilities
• To ensure all technical files/drawings are filed and named correctly.
• Collate and developing testing packs and technical handover packs.
• To ensure technical files/drawings are pushed through the project workflow correctly and in a timely manner.
• Expedite late documentation from clients, suppliers, internal and consultants. Specifically all technical handover information and testing documentation.
• To ensure markups and comments can be uploaded and reviewed by all.
• To promote collaboration between clients, consultants, contractors and sub-contractors.
• To ensure the correct groups and individuals are notified of files/drawings which require their attention.
• And to make sure that people aren’t being notified of files/drawings irrelevant to them.
• Introduce a process to assign specific files/drawings to the relevant individuals for review.
• To ensure the workflow and review process is simple to use and effective for the project reducing rather than increasing workload.
• Responsible for collation of technical/commissioning documentation at project handover.
• Download and publishing documents / drawings in accordance with project procedure as agreed with the relevant Technical Project Manager.
• Track all incoming and outgoing technical documentation, including logging in registers and issuing document transmittals.
