Role Overview:
GDi is seeking an experienced, enthusiastic, and motivated Document Controller responsible for the administration, control, and coordination of all project and corporate documentation. This role supports project delivery by ensuring timely, traceable access to critical information while maintaining compliance with client, project, and internal standards.
Key Activities & Responsibilities:
* Manage all incoming and outgoing documentation according to GDi procedures and contractual obligations.
* Maintain document registers, ensuring accurate logging, numbering, and revision control.
* Monitor and enforce document control workflows for review, approval, and distribution.
* Support users with procedures, troubleshooting, and training.
* Coordinate with IT or software vendors for system issues.
* Liaise with project managers, engineers, QA/QC, and clients to keep documentation current and accessible.
* Ensure project document deliverables meet client requirements and milestones.
* Maintain electronic filing systems for traceability and audits.
* Ensure documentation complies with quality standards, client specifications, and ISO procedures.
* Participate in audits and ensure documentation readiness.
* Support project close-out and handover, including final documentation packages.
* Produce reports on document status and outstanding actions.
* Track review and response timelines to support project schedules.
Essential Skills & Experience:
* Proficiency in MS Office and document control software.
* Experience with controlled documentation in project environments.
* Minimum 3 years in a Document Control role, preferably in engineering, construction, oil & gas, or energy sectors.
* Familiarity with ISO 9001 and quality management systems.
* Attention to detail and methodical data management skills.
* Proficiency with document management systems like SharePoint or similar.
* Excellent communication and coordination skills.
* Strong organizational skills and ability to prioritize.
* Knowledge of engineering or construction documentation is preferred.
