Space Planning & Moves Coordinator
Location: Central Scotland (occasional overnight stays required)
The Space Planning & Move Coordinator role includes, but is not limited to, the following tasks:
1. Delivering space planning rearrangements.
2. Planning and implementing move projects, tasks, and move layout designs.
3. Managing day-to-day small moves, office reconfigurations, and new furniture requests.
4. Generating tasks and requests for maintenance or services related to moves.
5. AutoCAD experience is essential.
Qualifications / Experience:
The core skills required include space planning, stakeholder engagement, contractor management, move management, and knowledge of building regulations related to office design. Interior Design or architectural skills are advantageous but not essential.
Operational Responsibilities:
* Build strong relationships with stakeholders and project managers to understand upcoming work.
* Schedule works to provide value for the client and customer.
* Keep the Moves tracker document up to date.
* Ensure PO’s are raised and tracked before work commences.
* Provide regular updates on workload and pipeline works.
* Monitor workloads and report on resource utilization.
* Manage MAC processes within live systems.
* Liaise with delivery managers and vendors.
* Ensure all completion documentation is filed post-project.
* Attend weekly coordination meetings and present updates.
* Approve e-permits, access permits, and contractor RAMS for small works.
Managing Risks, Opportunities, and Issues:
* Analyze risks and recommend or initiate corrective actions.
* Ensure all works have financial approval prior to scheduling.
* Track costs, including direct and ISS costs.
Client Relationships:
* Maintain daily contact with client representatives and stakeholders.
* Respond promptly to operational issues.
* Provide regular updates on financial matters.
Safety/Environment:
* Address safety concerns proactively.
* Operate in compliance with environmental standards and regulations.
Quality:
* Uphold high-quality standards in all activities to meet ISS and external verification requirements.
Experiences Required:
* Proven experience with AutoCAD software.
* Experience in delivering space planning rearrangements.
* Understanding of Building Regulations.
* Experience in financial management and operations.
* Ability to estimate project costs and prepare high-quality cost documents.
* Experience managing move projects.
* IT literacy, including Microsoft Office and Teams.
* Effective time management skills for stakeholder communication.
Attributes:
* Excellent communication skills.
* Full driving license.
* Proficiency in CAD.
