Job Description – Finance & Operations Assistant

Full-Time | Based in Peckham, London

Reporting to: Finance Manager

About the Role

We are looking for a detail-driven and highly organised Finance & Operations Assistant to join the back-office team at The Nunhead Gardener.

This is a full-time role with a primary focus on supporting the Finance Manager in the day-to-day financial operations of the business. The successful candidate will also collaborate with the wider operations and marketing teams, playing a key part in ensuring the smooth running of our multi-site retail business.

This is an ideal opportunity for someone looking to gain well-rounded experience in finance, buying support, and business operations within a fast-paced and friendly independent company.

Key Responsibilities

Finance Support

• Assist with weekly upload of supplier purchase orders and maintain supplier records

• Support weekly cash counting procedures

• Process Floom sales into Vector (our EPOS system)

• Assist with scanning, coding and archiving invoices and receipts

• Support receipt processing and general bank activity tracking

• Contribute to data entry on the Accruals & Prepayments Tracker

• Assist with client invoicing and the processing of HTA paper vouchers

• Help with supplier payment run preparation and invoice coding in Dext (as needed)

Business Reporting & Buying

• Produce and distribute regular reports, including:

– Weekly Performance Report

– Plant Supplier Buying Spreadsheets

• Maintain and update the Supplier Order Tracker

• Use sales data to recommend replenishment quantities and compile draft orders

• Support the Finance Manager and Directors in reviewing and finalising stock orders

Marketing & Webshop Support

• Assist with uploading product data and images to the webshop

• Process loyalty card applications across all channels:

– Upload in-store and online sign-ups to Vector

– Send Trustpilot invitations to new customers

– Upload customer details to Squarespace for newsletters

– Cross-check Mailchimp forms and integrate into the Squarespace database

Operational Support

• Support the Operations Manager with ad hoc projects and process rollouts

• Take and distribute meeting minutes when required

• Assist with processing and labelling warehouse deliveries during peak periods

• Ensure weekly sundries are sent out to stores

• Provide general administrative support to the back-office team as needed

About You

• Highly organised with an exceptional eye for detail

• Proactive, reliable, and capable of working independently

• Strong in both written and verbal communication

• Quick to learn new software and systems

• Comfortable working in a fast-paced and flexible retail environment

• A team player with a “can-do” attitude and willingness to get stuck in across departments
