Job Title: Helpdesk Administrator – Facilities & Maintenance
Location: Midlands (Office-based role)
Job Type: Full-Time | Permanent / 40 hours per week / Monday to Friday
Salary: Competitive, based on experience
About the Role
We are currently hiring an enthusiastic and proactiveHelpdesk Administratorto join our clients expanding operations team. You’ll be supporting the coordination and delivery offacilities management,fire & security, andsmall works maintenancefor a variety of commercial clients.
Working closely with the Head of Managed Services, your role will be central to keeping operations running smoothly — from managing job schedules and procurement to liaising with engineers and clients.
What You’ll Be Doing
* Coordinatingplanned and reactive maintenanceactivities across multiple sites
* Scheduling engineers and updating job progress using CRM/job management software – training given
* Managing procurement and supplier communication for job materials
* Handling day-to-dayclient communicationsand account support
* Preparing and issuing job documentation:quotes, service reports, completion certificates, and invoices
* Ensuring all job records meet client satisfaction and internal quality standards
What my client is Looking For
* Experience in afast-paced administrative role, ideally within theconstruction or facilities management sector
* Confident using CAFM or similar job management software – training given
* Strong organisational and multitasking skills — comfortable juggling multiple priorities
* A problem-solver who takes ownership and works well both independently and in a team
* Excellent communication skills (written and verbal)
* A proactive and professional approach with great attention to detail
It’s a Bonus If You Have:

* Familiarity with Health & Safety standards in facilities or site-based work environments
