About the Role
In this role, you will provide everyday excellence by supporting the Operations team across the Account. You will undertake administration across all areas of operational services.
You will assist the Account Director with administrative tasks, including collating information for contractual meetings, managing meeting invites for the Account, and updating contacts to ensure information is up to date.
You will assist the Senior Operations Manager with updating monthly tasks.
You will receive and respond to everyday inquiries from colleagues and customers to provide a timely, courteous, and effective service in line with our purpose of providing outstanding experiences. Your interaction will leave an everlasting impact because of the positive interaction you deliver.
You will develop a relationship built on trust with the client and contribute to the development and success of Macro by supporting the management team through operational activities.
You will proactively manage tasks and expectations within the directorate, using Concept.
General Responsibilities will include:
* ‘Do the right thing’ – Doing the right thing is a strong value for all Macro employees, and you will be a person who strives to ‘do the right thing’.
* Update the Escalation Matrix and distribute this as required.
* Update the Complaints and Compliment Register.
* Ensure that Change Register is updated and administered as required.
* Manage meeting invitations for Soft Service contractors and ensure the relevant documentation is saved.
* Monitor the Client FM Operations In-Box and highlight any issue.
* Select, save, and update Checklists/Audits as completed by the contractors.
* Monitor and update the Senior Operations Managers on Site Audits, and report on the completion of these tasks.
* Facilitate the induction of new team members.
* Prepare slides for Gov 1, Gov 2 and Gov 3 meetings (Weekly, Monthly and Quarterly).
* Arrange communications as instructed to the services and/or colleagues as required (per directorate).
* Maintain an address book for the Account of site contacts.
* Assist with supporting the Operations Managers when a Facilities Coordinator is out of the office.
* Deliver a range of administrative and/or customer services in support of existing systems or processes to agreed standards, to maximise service quality and continuity.
* Maintain high standards of Health, Safety, and Welfare at work and take reasonable care for the health and safety of themselves and others.
* Ensure a Safety-First approach and be proactive in creating a culture where safety is discussed openly.
* Promote and actively seek sustainable working processes and products.
This is a hybrid role with the working week split as follows: 3 days in the office / 2 days working from home.
About You
The ideal candidate will have:
* Experience in a customer-based role previously.
* A good understanding of the routine checks required for property compliance and a proactive approach to monitoring these checks.
* Strong communication skills to articulate findings and recommendations clearly.
* A proactive approach to managing tasks.
* Previous experience in the property sector.
* Ability to win the trust and respect of the client through exceptional job performance.
* Responsibility for own work and others to ensure deadlines are met.
* Ability to prioritise and plan workload in the context of conflicting priorities and work on own initiative.
* Flexible to adapt to a changing working environment.
* Willingness to undertake professional/vocational study where appropriate.
* Excellent understanding of the relevant area of work.
* Good written and oral communication skills with the ability to build sound relationships with customers.
* Good IT skills including database management systems, email, and MS Office.
* Ability to work with others to improve customer service.
* Good timekeeping.
