The Role
To provide a high level of confidential personal assistant support which contributes to the overall work of the director and the directorate.
To support the work of the Corporate Management Team by assisting the planning and organisation of the director's workload.
Please note this is a fixed term post for 12 months. Where a post only has temporary funding and an existing member of NHS Lanarkshire staff wishes to apply, this will be treated as a secondment. The employee MUST already have written agreement from their line manager to be released on a secondment before applying for the post.
In this key role, you will:
The post-holder acts as personal assistant to a director to ensure a high calibre confidential comprehensive secretarial and administrative service to the director including prioritising and distributing mail, initiating action required and setting/noting deadlines, drafting letters and collating information to ensure timeous response.
The post-holder is required to exhibit a high level of confidentiality, sensitivity and political awareness and to ensure that the high profile nature of the work of the Corporate Management Team is maintained at all times.
The post-holder is responsible for the management of the director’s busy diary to ensure effective and appropriate use of the director’s time by allocating appointments using discretion, and exercising significant influencing skills allowing prioritisation of the director’s workload to meet deadlines.
Required to liaise on a regular basis with other Directors, Managers and their PA’s to schedule and plan the work associated with the achievement of Corporate Objectives and Performance Management outcomes related to their own Director.
What You'll Bring
* A relevant secretarial qualification at HND/HNC level or equivalent.
* Minimum 5 years previous experience working for a senior manager within a complex organisation.
* Advanced knowledge of detailed secretarial procedures, including shorthand and software programmes.
* Able to devise detailed administrative processes.
