Cumbria, Northumberland, Tyne and Wear (CNTW) NHS Foundation Trust – Pathway Coordinator

An opportunity has arisen for a full-time (37.5 hours per week) permanent Band 4 administrator to join Hope Haven, which is a pioneer team for providing Copeland clients access to mental health and wellbeing support alongside practical advice.

We are seeking someone who has an interest in supporting the clinical team in maintaining and monitoring quality performance indicators/clinical standards with the aim of improving, informing and supporting the delivery of care to adult mental health services. To support Pathway Managers/Clinical Leads in reviewing demand vs. capacity by producing data in a meaningful way.

This position would be ideal for organised, responsive and detail-oriented individuals who are committed to change management principles.


Main duties of the job

The post holder must be able to demonstrate:

* Experience of gathering and inputting patient related data onto patient electronic record systems (RiO).
* Experience of monitoring performance data.
* Experience of providing administrative support to a large team.
* Good organisational skills and must be able to prioritise a fluctuating workload in order to meet the demands of the service.
* To evidence high levels of organisational skills.
* To evidence outstanding communication skills both written and verbal.
* Proficiency in the Microsoft Suite – this role will involve daily use of Microsoft Excel, so there is an expectation that proficiency level is at an intermediate level.
* Proven experience of note taking skills/organising and minuting meetings; live typing is to be expected with this role.

This is a very busy service, and the post holder would be responsible for the administrative function within Hope Haven. The successful candidate will work alongside clinical colleagues to ensure the service runs efficiently and performance targets are monitored and processes are adhered to.

Candidates are required to meet the mobility requirements for this post as travelling across this geographical footprint is essential on a regular basis.

This post could provide an ideal development opportunity for an existing Admin Officer or Band 4 looking to develop further administrative and pathway coordination skills whilst working autonomously. This post will provide training and development opportunities - the service is committed to upskilling our workforce via CNTW Academy and Leadership Academy (if applicable).

Full support will be provided and the candidate will receive peer support with access to supervision from their counterpart as well as support from service leads.


Job responsibilities

The post holder will be able to evidence:

* Proven experience of working with Microsoft Office packages and excellent keyboard skills; expertise in Microsoft Excel (e.g., creating complex formulas).
* Experience of gathering and inputting client related data onto an electronic patient record system.
* To collect/monitor performance data and produce this information in a meaningful way.
* Experience of providing administrative support to a large clinical team.
* Effective minute taking skills and ensuring all actions are acted upon, which may include live typing.
* Ability to be self-directed, motivated and able to contribute positively within a team.
* Strong organisational skills and must be able to prioritise.
* Provide coordinator/support/cover to other departments when needed.
* The post holder must be able to use their own initiative, work under pressure, adhere to strict deadlines and have excellent organisational, interpersonal and communication skills.
* Diary management skills for the coordination of clinics/production of rotas.
* Desirable: A working knowledge of electronic patient record systems (RiO) and dashboards. Training will be given.


Person Specification


Education and Qualification

* AOCR/RSA Level 3 qualification or equivalent in Word/Text Processing
* General level of education to O-Level/ GCSE or equivalent


Knowledge and Experience

* Word/text processing skills, OCR/RSA Level 3 qualification (or the equivalent) plus relevant experience; Audio Typing qualification or demonstrable equivalent experience
* Working knowledge of Microsoft applications, including e-mail communication
* Ability to maintain and update Patient Information Systems e.g. RiO
* Knowledge and understanding of relevant clinical terminology (gained through relevant qualification and/or experience)
* Good working knowledge of office procedures
* Knowledge of NHS procedures and Policies
* Experience of data collection and analysis
* Good organisational and planning skills


Skills and Competencies

* Excellent communication and interpersonal skills, both verbal and written
* Shorthand skills

* Able to meet the mobility requirements of the post
