Recruitment Coordinator at Acteon Group Ltd.

Acteon's Moorings and Anchors business line provides project and operational management expertise to customers across the mooring lifecycle. By combining operational knowledge of mooring equipment, anchor handling and industry failure modes with subsea engineering expertise, we create a company unmatched within the mooring niche. This approach mitigates risks in delivery, installation and operations across the lifecycle, reducing mooring lifecycle costs and safeguarding major operations that protect start‑up schedules when mooring and mooring intervention are on the project or production critical path.

We are seeking a Proposal Engineer based on a 6-month fixed term basis. Based at our facility in Bridge of Don, Aberdeen, you will manage and coordinate high-quality EPCI, T&I, Replacement, and Decommissioning proposals for the Oil & Gas and Renewables sector, focusing on moored floaters (FPSO, FSO, FLNG, FWT, CALM Buoys). This role involves preparing competitive cost estimates, collaborating with cross‑functional teams, ensuring compliance with client and internal standards, and improving proposal processes for efficiency.


Main Duties & Responsibilities

* Respond to market survey enquiries promptly and accurately.
* Review client ITBs and generate relevant clarifications related to scope, technical requirements, and submission criteria.
* Participate and contribute during Go/No‑Go reviews.
* Coordinate and prepare comprehensive tender submission documents in response to client ITBs and RFPs.
* Identify and manage appropriate proposal templates (Technical, Commercial, Budgetary) for each submission.
* Liaise with engineering and technical teams to assess feasibility of client requirements and confirm availability of equipment or vessels.
* Document and distribute Minutes of Meeting (MoM) for tender‑related discussions with clients, vendors, and internal stakeholders.
* Ensure proposal content remains current and relevant, including track records, eligibility criteria, organisation charts, and appendices.
* Prepare cost sheets and conduct pricing reviews with relevant stakeholders.
* Recommend competitive pricing strategies based on market trends and competitor insights to the Proposal Manager.
* Participate in EMT Gate Reviews to support bid qualification and strategy alignment.
* Compile and validate all inputs for tender submissions, ensuring compliance with client/ITB requirements and timely upload to client portals.
* Perform post‑bid submission summaries to capture key outcomes and feedback.
* Update the Lessons Learned Log after each bid to support continuous improvement.
* Proactively follow up on submitted quotations to maintain client engagement and responsiveness.
* Coordinate and respond to post‑tender clarifications from clients.
* Prepare and deliver project handover documentation using standardised forms.


Requirements

* High level of accuracy in preparing proposals and reviewing documentation.
* Sound understanding of the business, technical requirements, and commercial principles to support effective bid development and negotiation.
* Skilled in Microsoft Office Suite (especially Excel) and Adobe software for document preparation and analysis.
* Excellent verbal and written communication abilities for internal coordination and client engagement.
* Ability to build and maintain strong relationships with clients, suppliers, and internal teams.
* A proactive self‑starter who can work independently and collaboratively within a team.
* Capable of prioritising tasks and managing competing deadlines in a fast‑paced environment.
* Able to think strategically and creatively to resolve challenges and enhance proposal quality.
* Experienced in sourcing third‑party quotes, conducting commercial evaluations, and negotiating pricing.
* Demonstrates persistence in managing opportunities from initiation to closure.
* Willingness to adjust working hours and approach to meet project demands.
* Maintains high ethical standards and confidentiality in all dealings.
* Adheres to safety protocols and HR policies, promoting a safe and respectful work environment.
* Embodies and promotes company values and behavioural competencies as outlined in performance frameworks.
