Overview

We are currently recruiting for a Training Events Coordinator to join our Training Events team in the London office. The Training Events team are responsible for the smooth running and logistics associated with over 200 training programmes developed and delivered by A&O Shearman's Talent & Development department. The training programmes are provided for all levels of fee earner as well as support staff across the global offices.

This assistant level role requires someone who is highly organised and efficient, who enjoys getting the job done, and who can provide administration support for the Talent and Development Managers. The role involves event management of a suite of training programmes and handling related queries, with willingness to travel and work outside normal hours.


Responsibilities

* Arrange all pre and post logistics for multiple training events, both virtually and in person, for global attendees.
* Liaise with teams in A&O Shearman Global Offices to supply pre-event information and ensure smooth execution.
* Provide on-site and virtual support at events, both in-house and at external venues when in-person events occur.
* For in-person events, assist with room setup, greet presenters/facilitators, ensure they have what they need, and be the main point of contact for delegate queries on the day.
* Work closely with London Talent and Development managers to ensure successful event delivery.
* Liaise with external providers for end-to-end programme management.
* Collate collateral and prepare materials for training programmes.
* Manage event budgets and prepare/amend documentation as required.
* Promote training programmes via internal channels (intranet and LMS).
* Liaise with Compliance regarding fee earning CPD.
* Maintain and create the Training Events file and programme structure within the file management system.
* Become a super user of the Learning Management System.


Key Requirements

* Strong event management background, well organised, with experience in a professional services environment.
* Willingness to work extra hours when events require early starts (from 7:30am) and late finishes (up to 7:30pm), including travel when necessary.
* Enthusiastic, efficient candidate with exceptional administrative and prioritisation skills and meticulous attention to detail.
* Ability to develop and maintain strong relationships with internal and external clients.
* Strong influencing and negotiation skills across client groups.
* Ability to meet deadlines, juggle multiple projects, and deliver under pressure.
* Experience working independently with initiative as well as in a partially remote team.
* Computer literacy with Word, Excel, Outlook; familiarity with virtual platforms (Zoom, Webex, MS Teams).
* Effective data management and databases (e.g., Power BI).
* Experience with a Learning Management System is desirable (e.g., Docebo).
* Professional in outlook, attitude and appearance.
* Enthusiastic, proactive, persistent and robust with a commitment to getting the job done.
* Strong client focus and ability to form relationships across a large and diverse organisation.
