Bank Admin Talking Therapies Grays Essex
Shifts are 8:30-17:00 with lates 12:00-20:00 Monday - Friday. Inclusion Thurrock is a 08:30-20:00 hr service and staff are required to work evenings and late shifts, currently one evening per week. Work flexibly as a team and support each other as needed.
To undertake general administrative and reception support across all teams. Undertake any other duties considered reasonable and connected with the post.
Responsibilities
* To complete all administrative tasks undertaken by the admin team providing cross cover where needed.
* Respond promptly to all incoming telephone calls/faxes/emails to ensure urgent matters are dealt with promptly with messages recorded and relayed accurately.
* Monitor voicemail and deal with callbacks promptly including cancellations/rescheduling of appointments.
* Contact service users by telephone.
* Deal with enquiries to the services by patients and their family, health professionals.
* Receive, distribute and despatch mail, ensuring confidentiality is maintained.
* Carry out typing, word processing of reports, documents and correspondence.
* Assist in receiving visitors and making appointments where necessary.
* Provide high quality administrative support to the multi-disciplinary psychological therapies team including room bookings, responding to staff sickness alerts and batch distribution of patient correspondence.
* Diaries work to be completed weekly/monthly; work on reception desk on a rota system; use own initiative to deal with routine matters.
* Work with the team to lock up the office in accordance with current procedures when completing a late shift.
Qualifications/Requirements
* Experience in administrative support and reception tasks.
* Ability to work flexibly as part of a team and handle confidential information.
* Good communication and organisational skills.
