Patient Safety and Datix Team Support Administrator

We are looking for an enthusiastic and motivated individual to join the Patient Safety & Datix Team as an Administrative Support Officer. The post holder will provide essential administrative support to the team, helping to maintain the Datix CloudIQ System with particular input to the Incidents Module.

Working as part of a small team, you will support the day-to-day administration of incident reporting, including monitoring inboxes, updating records, basic data checks, and responding to routine queries. You will also assist with maintenance of system user accounts, data entry, and supporting other functions relating to the system.

You will be educated to GCSE level or equivalent (or relevant experience) and have previous experience working in an administrative role within a confidential environment. You will have good IT skills, including Microsoft Word and Excel, and be able to manage and prioritise your workload effectively. Good communication skills and attention to detail are essential.

Previous experience of using Datix or a similar system used for recording case management electronically, E-Searcher or other relevant information systems, and some experience in customer support would be desirable, but full training will be provided.


Main duties of the job

Working under the supervision of the Datix System Manager you will provide a range of support services for the Datix Team using relevant modules of the Datix CloudIQ system to update and maintain the electronic records and associated modules.

You will carry out daily checks including updating data and classifying Incident Forms, check content and accuracy of the data against set criteria.

You will assist and support service users, mainly by telephone and email but this may involve one to one supervision on occasions, regarding the use of the system and general enquiries.

In addition, you will also provide support to maintain service users' access requests via the ESHT Digital Self Service Portal.

Person Specification


Qualifications

* Evidence of good general education to GCSE equivalent/NVQ2
* General IT/ECDL qualification or experience of working at that level
* Competency certification in IT/Excel
* Willingness to undertake additional training


Experience

* Processing of data on electronic systems - working with databases and spreadsheets e.g. Excel
* Customer/Service User support by phone, MS-Teams or email and in person
* Ability to organise own time and own workload
* Work as part of a Team
* Experience of categorising/classifying information
* Experience of processing electronic information/case management
* Interrogation of data and generation of simple reports from database or systems


Skills

* Good keyboard and IT skills including knowledge of Microsoft Office Word, Outlook and Excel.
* Excellent written and verbal communication and interpersonal skills with the ability to liaise effectively with staff at all levels of seniority and background including a good telephone manner
* Excellent organisational skills and ability to prioritise work to meet deadlines
* Ability to work on own initiative but also work as part of a team; knowing when advice should be sought
* Working knowledge of the Datix CloudIQ incident reporting system or similar module or system
* Knowledge of the NHS and clinical terms/medical terminology
* Some understanding of risk management, Patient Safety Investigation & Review Framework (PSIRF) procedures
