Operations Assistant

We’re seeking candidates with operations, third-party or vendor experience from a Facilities, Clerk, Junior PA, Administrator or similar background who are ready to build on their experience and step into a rewarding administrative role at a top-tier US law firm.

* Salary to £40,000
* 09:30-17:30 (Monday-Friday)

Key Responsibilities of the Operations Assistant:

1. Manage the Facilities team calendar including reminders, team meetings, maintenance schedules etc.
2. Take minutes of team meetings and follow-up on action points.
3. Assistant with office logistics, including facilities management, and vendor relationships.
4. Support and assist with planning office moves, liaising with IT, Facilities, and all relevant Business Services teams.
5. Assist with the onboarding and offboarding of facilities vendors.
6. Track and manage the firm’s assets e.g. furniture, coffee machines, office plants, etc. to help coordinate service and maintenance requests.
7. Conduct periodic Health & Safety and Fire compliance checks.
