Job Overview
An exciting opportunity has arisen within the north division of Moorfield's Eye Hospital. We are looking to recruit an Outpatient Supervisor based at our Moorfield's Site at Ealing Hospital (onsite based role).
Main Duties
* Provide leadership to the administrative and clerical team, managing a team of outpatient clinic coordinators and ensuring excellent customer service and key performance indicators are met.
* Work independently and as part of a multidisciplinary team, interacting with clinical staff and patients and supporting the success of the hospital.
* Overall management responsibility for delegated administrative staff—managing sickness, disciplinary and performance issues according to trust policy.
* Coordinate daily work of outpatient clinic coordinators, authorise annual leave, supervise and provide training and guidance.
* Monitor and manage sickness/absence, use Excel to manage clinical rotas and adjust profiles 6 weeks in advance.
* Act as a resource for immediate problems, informing and escalating to the clinic manager.
* Deputise for the clinic manager at meetings and duties as required.
* Coordinate training of new and existing clinic coordinators, ensuring staff are equipped with required skills.
* Support coordinators to deliver excellent customer service and maintain data quality on PAS.
* Work with the assistant clinic manager to meet Key Performance Indicator targets.
* Liaise with booking and contact centres to resolve patient queries and ensure new appointments comply with clinic profiles and RTT guidelines.
Clinic Management
* Manage designated clinics in line with clinic profiles, reducing over‑booking and aligning patient numbers with clinicians.
* Liaise with responsible clinician for regular updates on clinic profiles.
* Use systems such as PAS and safe staffing to monitor clinics and clinicians.
* Provide high‑standard reception service and general admin support, being the first point of contact for patients.
* Record patient AIS requirements accurately on the Trust’s electronic systems, update digital screens and whiteboards, and document attendance, referrals to treatment status, and outpatient procedure coding.
* Book and reschedule appointments, including diagnostic appointments in liaison with relevant departments.
* Ensure follow‑up appointments are booked in line with KPI and treatment plans.

Person Specification
Education / Qualifications
* Essential: Educated to GCSE level (including English and Maths to GCSE A‑C) or equivalent qualifications.
* Desirable: Evidence of continuing education and development.
Experience
* Essential: Experience of effectively supervising a team; experience working in a multidisciplinary team; awareness of NHS performance targets (e.g. Referral to Treatment); experience working in a healthcare setting.
* Desirable: Knowledge of HR processes (e.g. sickness and performance management).
Skills / Abilities
* Essential: Ability to develop, lead and motivate staff; excellent organisational skills; excellent oral and written communication, negotiation and interpersonal skills.
* Desirable: Ability to work under pressure and to deadlines.
