Office Based, Full Time. Monday to Friday 08:30am – 5:30pm.

Introduction
Faithdean PLC seeks an Assistant Document Controller to join us at our Head Office based in Lordswood, Chatham. This role involves assisting the Lead Document Controller and the project team in a fast-paced environment with large amounts of information to process and distribute efficiently. No experience is required, and knowledge of construction is advantageous but not essential. We welcome applications from those looking to change careers or start in the construction industry.

Faithdean Plc is a privately owned building, refurbishment, and fit-out contractor with an established track record. Formed in 1977 and operating from offices in London and Kent, we have an extensive portfolio of successfully completed projects across all market sectors. This includes new build schemes, maximising existing developments, major structural modifications, refurbishment, and the fitting out of interior spaces. Our contract values range between £100k and £100m+.

Job Role / Responsibilities

* Maintain good relationships with the Professional Team, Client, and Faithdean Subcontractor and Supply chain.
* Keep all relevant documentation relating to the contract saved into the Deltek PIM platform.
* Oversee document management for several projects, ensuring project-related documentation is uploaded, distributed, and tracked correctly using the Deltek PIM platform. This includes:
o Request for Information
o Technical Submittals
o Sample Submittals
o Professional Team Drawings
o Subcontractor & Supplier Drawings
* Coordinate with the project team on specific documentation distribution requirements.
* Track missing or inaccurate project information and ensure updates are made.
* Load, track, and chase Faithdean supply chain design information, including Drawings and Technical Submissions.
* Facilitate efficient retrieval of project documents throughout the project lifecycle.
* Assist in the collation of Operation and Maintenance Manuals as required.
* Attend meetings as needed to discuss project needs and outstanding information.
* Update, collate, and manage Progress Reports on live projects.
* Assist with the upload of tenders/enquiries received by the team.
* Publish incoming and outgoing emails.
* Provide general support for projects as needed, including saving documents, printing, posting information, and producing presentations for meetings.

Experience / Skills

* Proficient in Microsoft Office – Word & Excel.
* Proficient in Outlook.
* Outstanding organisational skills with a keen eye for detail and accuracy.
* Excellent communication skills with Clients, Professional Teams, Team Members, and Supply Chain. Ability to lead meetings to review project information.
* Able to work to tight deadlines.
* Work well as part of a team and independently, using initiative.
* Flexible with the ability to manage multiple priorities.
* Prior knowledge of construction and the roles of the professional team, main contractor, and supply chain is advantageous but not essential.
