Role Description This is a full-time, on-site role for an Office Administrator / Service Coordinator based in Martin Hussingtree (Worcester). The role involves managing incoming calls and emails, serving as a first point of contact for clients, and scheduling service visits and repair appointments for engineers. The Office Administrator / Service Coordinator will maintain and update job logs, service records, and databases, and will prepare and issue work orders, quotes, and basic documentation. Daily responsibilities include coordinating engineer diaries, tracking job progress, and following up with customers on service status and feedback. The role also covers general office administration such as filing, handling post, ordering office supplies, and supporting invoicing and basic data entry tasks. Collaboration with the operations and engineering teams is essential to ensure efficient allocation of resources and timely completion of work.
Qualifications
* Strong Office Administration and Administrative Assistance skills, including organizing records, managing schedules, and supporting day-to-day office operations.
* Ability to operate and manage common Office Equipment such as printers, scanners, telephones, and basic IT systems.
* Excellent Communication and Customer Service skills to handle calls, emails, and in-person inquiries in a professional and clear manner.
* Experience coordinating service work, field teams, or engineer diaries is highly beneficial.
* Proficiency with office software (e.g., Microsoft Office or similar), including email, spreadsheets, and document preparation.
* Strong attention to detail, time management, and the ability to prioritize multiple tasks in a busy environment.
* Ability to work collaboratively with colleagues at all levels and build constructive working relationships with customers and suppliers.
* Previous experience in facilities, maintenance, construction, or a service-based environment is an advantage.
* Relevant vocational training or qualifications in administration, business support, or a related field are beneficial.
