This role is based at Doddington Road, Lincoln (LN6 3RA), working within the Maintenance Department to support the coordination, administration, and continuous improvement of site facilities and maintenance activities. You’ll work closely with Maintenance, Production, and external contractors to ensure equipment, systems, and infrastructure are maintained efficiently and effectively.
As the Site Facilities & Maintenance Administrator, your responsibilities will include:
* Coordinating and managing the Planned Preventative Maintenance (PPM) scheduling system
* Maintaining accurate maintenance records, service logs, and documentation
* Liaising with external contractors and service providers to arrange servicing, repairs, and site visits
* Supporting communication between the maintenance team, production departments, and support functions
* Raising and managing purchase orders for spare parts, consumables, and maintenance stock
* Monitoring and maintaining stock levels of critical spare parts to ensure operational continuity
* Assisting with the planning and coordination of maintenance shutdowns and major works
* Tracking maintenance activities and identifying opportunities to reduce equipment downtime
* Managing and developing digital maintenance systems and records
* Planning machine servicing activities in consultation with relevant stakeholders
* Gathering supplier quotes and expediting orders for parts, equipment, and services
* Controlling maintenance stock items, data, and equipment manuals
* Providing administrative support for site projects and maintenance activities
* Supporting general site facilities upkeep and infrastructure standards
* Assisting with job prioritisation and allocation within maintenance activities
* Providing cover for the Maintenance Manager during holidays and absences
* Ensuring compliance with site safety, maintenance, and operational procedures
As the Site Facilities & Maintenance Administrator, you will bring:

* Strong computer literacy and confidence working with data and systems

Desirable (but not essential):
* Experience working in a maintenance, facilities, or manufacturing environment
