Overview
Due to the expansion of the service to encompass 7 day working, we have an exciting opportunity for 2 full-time Senior Clerical Officers to join our administration team, here in the Endoscopy Department. Reporting to the lead administrator, you will be part of a team responsible for booking various patient appointments, maintaining hospital systems (IPM, dashboard, ICE, PENS), monitoring waiting lists, data entry, liaising with health professionals, handling patient enquiries, and providing flexible support to meet the demands of the service. You will also provide administrative support to the specialist nurse team with pre-investigation and the E-referral service.
Due to the nature of the work you will be IT literate, able to use most Office software and work unsupervised. Experience in the health sector is advantageous; excellent customer service, the ability to work as part of a team and work to tight deadlines are essential. You will be flexible and prepared to support the department as needed, including cross-site cover at our Broadgreen site if required.
Main duties
* Lead responsibility for dealing with referrals for all outpatient and day-case endoscopic procedures, both diagnostic and therapeutic, ensuring a high quality service at all times.
* Lead on booking referrals; where appropriate, arrange appointments with the anti-coagulant nurse and/or dietician.
* Rotate through lead booking areas within the office (including a two-week rule service), manage the outpatient pre-invest system, and record ward attenders.
* Liaise with health professionals, wards, A&E and GP surgeries as required.
* Handle outpatient referrals in accordance with the Choose & Book partial booking system; register new patients on IPM/PAS and add to appropriate waiting lists.
* Monitor and highlight waiting list breaches and waiting times; ensure procedures are booked onto appropriate lists according to the Endoscopist’s skill level.
* Ensure appointment letters are appropriate for the procedure; send out information leaflets and/or research information for patients.
* Record all outcomes on IPM/PAS and manage waiting lists in line with the Trust’s access policy.

Person Specification
* Essential – NVQ 3 or equivalent; experience of direct contact/liaison with patients, carers, the public and health professionals; ability to work unsupervised and assist junior staff; ability to assess, prioritise and plan workload; good communication skills; ability to mentor junior administration staff; tact and discretion when dealing with the public.
* Desirable – training new staff on the IPM PAS system; interest in service design and improving working practices.
* Other – flexibility to rotate between three main booking areas; a good team player.
Knowledge & Experience
* Working knowledge of hospital administration systems and computer systems, preferably IPM/PAS, ICE.
* Experience of patient administration and CRIS scheduling, and knowledge of gastroenterology and hepatology tests and procedures is desirable.
* Ability to use computer software applications (e.g., Excel, Access).
