HR Onboarding & Operations Coordinator

Overview
Menarini Stemline is seeking an experienced and detail-oriented Remote HR Onboarding & Operations Coordinator to join our growing Human Resources team supporting the EMEA & APAC regions.
This remote role will be responsible for ensuring a seamless and positive onboarding experience for all new hires across the regions, as well as contributing to the efficient and effective day-to-day operations of the regional HR function.
The ideal candidate will be a self-motivated and proactive problem-solver with excellent organisational and communication skills, a strong understanding of HR processes in a multi-country context, and the ability to thrive in a remote and fast-paced environment.
Fluency in English is essential for this role, as this role will be interacting with a diverse international workforce.
Responsibilities
Onboarding Management:
* Manage the end-to-end onboarding process for new hires across the regions, including pre-onboarding communications, virtual new hire paperwork, coordinating system access provisioning, and virtual orientation scheduling.
* Serve as the primary point of contact for new hires, ensuring a welcoming and informative virtual experience.
* Coordinate remotely with various international departments (IT, relevant local teams, training department etc.) to ensure a smooth integration for new employees.
* Develop, maintain, and update onboarding materials and processes to ensure effectiveness and compliance across the regions.
HR Operations Support:
* Assist with the administration of the HRIS and various databases, ensuring data accuracy and integrity for the regions.
* Support the HR team with various administrative tasks, maintaining electronic employee records, and processing HR-related documentation.
* Manage the offboarding process in close collaboration with local HR partners.
* Respond to employee inquiries from across the regions.
* Maintain awareness of and ensure compliance with relevant labour laws and regulations across the regions, working closely with local HR partners where applicable.
Collaboration and Communication:
* Effectively collaborate and communicate with HR colleagues, managers, and employees across different time zones.
* Utilise various remote communication tools (video conferencing, instant messaging, email) effectively.
* Proactively provide updates and escalate issues as needed to the relevant stakeholders.
Qualifications
* Proven experience (ideally 3+ years) in an HR role with a strong focus on remote onboarding and HR operations, with EMEA region experience.
* Understanding of HR principles and best practices.
* Demonstrated experience managing the full employee lifecycle remotely and ideally across multiple countries.
* Experience in using HRIS systems and remote collaboration tools.
* Strong organisational skills and attention to detail in a remote working environment.
* Excellent written and verbal communication skills in English (fluency is essential). Additional European languages are an advantage.
* Ability to handle sensitive and confidential information with discretion.
* Strong problem-solving and analytical skills.
* Ability to work independently, manage time effectively, and collaborate efficiently within a remote team.
* A proactive and results-oriented approach with a strong sense of ownership.
