PeopleServices People Services Recruitment Administrator

22.5 hours per week

6 month fixed term contract

We're looking for a reliable and organised person to join our friendly team based in Poundbury to assist us in ensuring our candidates have the best possible experience when applying for our roles.


Main duties of the job

In this role, you will support the People Services team with recruitment and onboarding administration, including posting adverts, managing applications, creating selection packs, and organising interviews. You will be key in building relationships with candidates and successful applicants throughout the process, ensuring the Weldmar Values are embedded in all that we do.

Working alongside two other People Services Administrators, there will be plenty of onboarding and other people-related administration tasks to get involved in.

We're looking for somebody with administration or recruitment experience, good IT skills including Microsoft Office and use of databases, as well as the ability to manage multiple priorities.

About Weldmar Hospicecare: Rated Outstanding by the CQC, Weldmar Hospicecare provides specialist care to adults in Dorset with a life-limiting illness, and support to their loved ones. This care is given in the comfort of patients' own homes, in the community, and at our Inpatient Unit in Dorchester. All care is provided free of charge and mainly funded by the continued support of our local community, via fundraising initiatives and events, our retail chain, and gifts left in wills, enabling us to raise the £27,500 we need every day to keep our services going.

Job Title: People Services Administrator - Recruitment

Hours of work: Part Time

Fixed Term Contract (6 months)

Grade: Weldmar Salary Scale

Reports to: People Services Business Partner

Responsible for: N/A


Job purpose

Work in collaboration with the People Services Team to support the provision of a professional and efficient People Services provision in line with legislation and Weldmar's strategic plans and operational priorities. The main focus of this role will be around recruitment and other people-related administration tasks as required.

Understanding that our people are our most valuable resource and integral to the success of Weldmar's strategy, working with our People Services Assistant(s) and Business Partners, you will be administering the end-to-end recruitment service for Weldmar.


Scope and limits of authority

Reporting to the People Services Advisor, you will support the People Services function in the coordination and delivery of a professional recruitment and onboarding service.


Job tasks

Recruitment:

* Working with the People Services Business Partner and Advisor, ensuring that we attract the right applicants with the right skills at the right time to support the charity's strategy.
* Creating job adverts, posting on relevant job boards, and liaising with our Marketing and Communications team to advertise on our social media, website, and newsletters.
* Managing the Recruitment mailbox, acknowledging applications, answering questions where appropriate, and recording relevant data.
* Liaising with Managers to schedule interviews, booking relevant rooms, and creating and communicating the invitation to interview letter to candidates.
* Creating shortlisting packs and collating scores from Stakeholders in a timely manner.
* Reviewing and assisting in the creation/updating of interview questions and selection methods.
* Creating and communicating unsuccessful letters and ensuring the correct offer paperwork is completed.
* Ensuring an excellent end-to-end candidate experience, including onboarding all successful applicants efficiently, increasingly through technology as it develops.
* Maximising the potential of digital recruitment including back-office solutions.
* Influencing and supporting employment branding initiatives, including front-end materials and website development.
* Researching, organising, and/or attending recruitment fairs, assessment centres, or other events that present Weldmar as an employer of choice, if required.
* Creating and sustaining effective partnerships with Schools, Colleges, Universities, and other organisations to enable potential pathways into Weldmar employment.
* Responsibility for employee records, data entry, data validation, and retention on the HRIS, electronic folders, and paper files in line with GDPR and other legislation.
* Leading on delegated projects.
