Job summary

A rare opportunity has arisen for two dedicated and conscientious administrators to join our busy, working age Adult Mental Health team, on Ebor ward in Foss Park Hospital, York. We are looking to recruit to one full time post (37.5hrs/week) and one part-time post (30hrs/week). Please specify in your Supporting Information which post you are applying for.

Foss Park is an acute mental health hospital providing services and delivering care to the population of York and surrounding areas. This facility is situated to the north of York city centre, benefits from free on-site parking and is easily accessible by car, bus and bicycle. As a member of the clinical team, you will work in an inpatient ward office, alongside other administrators, clinicians and support staff. The ward office is an area of high activity and no two days are the same. You must have the Right to Work in the UK in order to be successfully appointed to this role. Please note, this role does not meet the required eligibility criteria for sponsorship under the Skilled Worker visa and therefore the Trust is unable to offer sponsorship for this particular role.

Main duties of the job

Whilst having previous experience in an administrative role is essential, NHS or other health care experience is not. We are first and foremost looking for individuals with a passion for people, customer service experience, extensive organisational skills, an interest in working in a health care setting and a 'can do' attitude.

This role is part of a multi-disciplinary team and is a pivotal role in the day-to-day operations. As part of the administration team you will work closely with clinicians, healthcare support workers, porters, catering staff etc. to support them in ensuring that high standards are maintained and they have everything they need to provide the best possible care for the service users.

We are looking for someone who feels comfortable multi-tasking in a busy environment, someone who can communicate confidently, build strong working relationships with a variety of people, can prioritise their workload and work to deadlines.

Job responsibilities

Generic administrative activity such as: answering the telephone, taking messages, responding to emails, producing and formatting letters, liaise with other TEWV teams and external organisations across the North East and Yorkshire area, purchasing and receipting goods, managing multiple calendars and setting appointments, minute taking, data capture on patient management system, digital presentation support (. statistics and performance data), files and documentation prep (. case notes), photocopying, filing.

To be a point of contact on behalf of the clinical team, for service users, carers and visitors; responding to enquiries in a patient and helpful manner.

To interact compassionately with service users and carers at all times and promote a positive image of the mental health service, the Trust and the people who access our services.

Person Specification

Qualifications

Essential

1. Level 3 Qualification in relevant field or equivalent experience or willingness to work towards Level 3 in Business Administration.
2. Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above/New GCSE in Maths and English (Grade 4 to 9) are an essential requirement to be fully competent in the role

Desirable

3. Level 3 Qualification in Leadership and Management
4. RSA or equivalent Secretarial/administrative experience in a clinical environment

Experience

Essential

5. Experience of working in an administrative environment (diary management, filing systems, meeting coordination, minute taking, data input, collating and presenting information)
6. Customer Service experience (face to face, answering calls, correspondence)
7. Experience of organising competing demands and workloads
8. Experience of setting up and maintenance of administrative systems and processes
9. Evidence of experience in working autonomously and proactively

Desirable

10. Experience of supporting/supervising staff
11. Experience of handling monies and working within financial guidelines
12. Experience of working in the NHS

Knowledge

Essential

13. Comprehensive knowledge of administrative procedures and the ability to undertake associated tasks ensuring adherence to defined procedures and guidelines
14. Demonstrable and comprehensive knowledge of Microsoft Office applications (Word, Excel, Outlook and Teams)
15. Understanding of confidentiality and the associated legal and policy requirements

16. Knowledge of NHS systems. Mental Health, Primary Care, Secondary Care, Local Authority partnerships
