Daily absentee reporting i.e. annual leave and sick.
Co-ordinate diaries, maintain holiday records within both departments, and ensure
Outlook calendars are kept up to date, in UK and for overseas sites, as necessary.
Maintain the hour registration document of the department; ensure the list of employees and projects are up-to-date.
Maintain accuracy of Company telephone lists and circulate on a monthly basis.
Co-ordinate incoming telephone calls and distribute all departmental mail.
Manage all UK and overseas travel. Travel arrangements include flights, accommodation, cash, etc.
Update the departmental notice boards.
Update & maintain the patent (new and renewals) and trademark data base (Otter Group) and proof read as and when required.
Archive Confidentiality Disclosure Agreement records (Otter Group).
Arrange patent translations as and when required and coordinate renewals.
Co-ordinate, produce and distribute the monthly Team Brief.
Manage Intranet updates, and arrange that department specific documentation following the Company Quality Procedure are kept up-to-date.
Maintain a record of company gifts and charity products.
Provide secretarial support to the 6 weekly Works Council Meetings.
Maintain UK board meetings calendar, arrange invitations and meeting room bookings when appropriate.
Maintain and communicate the holiday calendar & weekly ins and outs of Directors.
Prepare combined Annual Strategy Presentation: chase and collect the slides from the appointed speakers and combine into a single document.
Monitor general incoming Sales e-mails and answer or forward any enquiries or orders.
Retain and file incoming Sales emails and attachments
Create new sales folders when required to file emails from incoming emails and cc'd copies.
Contact/reply to customers when required, sending relevant information or taking calls and actioning requests.
Assist with Market Research when required.
Co-ordinate Dropbox, shared between UK and Hong Kong Sites..
