This role is responsible for providing business administration and personal assistant support to members of the Service Delivery Leadership Teams based at our Swanwick and Prestwick operational centres. This role is based at our Prestwick Centre and will be on site at least 4 days per week. It will work with other similar roles across Operations to ensure that common standards, procedures and best practice occur in providing that support and provide cover for each other when necessary.
Responsibilities
To provide personal assistant support with discretion and confidentiality enabling them to work efficiently and effectively in discharging their duties. The scope includes:
* Diary management
* Travel management
* Managing email
* Meeting management, including ensuring that the relevant Director is prepared. Managing leadership team agendas and meetings, take minutes and actions for key formal meetings and track those actions using tools available to do this efficiently
In addition, the role may provide the following administration activities:
* Create business area reports, monitor business area milestones, KPIs, business risks and other performance measures and report on these within the business area
* Support procurement activities
* Co-ordination of requests for visitors to the NATS site
* Arranging large events or meetings, including locating and booking external venues where required
* As a Timesheet Administrator ensure that all timesheets are completed accurately and to required timescales, escalating issues in a timely way
* Act as a Point of Contact for Drugs and Alcohol random testing at the Centres, ensuring that the process is effectively managed in accordance with the Company's Drugs and Alcohol policy
* Undertake other routine and ad hoc general office management and business support activities as required.
Skills & Experience:
* Experience in an administrative or support role is required, preferably with experience in supporting teams that work across multiple locations.
* An excellent standard of IT skills is required, including the Microsoft Office suite, Teams, SharePoint and SAP.
* Well-organised and self-motivated team player capable of working effectively minimum supervision using own initiative, effectively prioritising activities to meet the needs of different internal and external customers with excellent attention to detail.
* Good communication skills, written and verbally, and credible at a senior level internally and externally. Confident manner, capable of handling sensitive and confidential matters.
* Able to develop and maintain effective working relationships.
* Excellent time management and organisational skills for both themselves and others.
* Able to work flexibly to deal with changing circumstances, requirements and ambiguity.
* Confident manner, capable of exercising good judgement and sensitively dealing with confidential matters.
