Here at Mount Green, we are now seeking a Property Services Officer, someone to provide high-quality technical and non-technical administrative support for property services.
As the first point of contact for contractors and residents regarding repairs enquiries, you will maintain and improve an auditable file management system, assist in maintaining the property asset register and stock condition data, undertake regular reconciliations, and provide updates to contractors and colleagues as required.
You will ensure the void process within the repairs function is fully implemented, seek quotes for void works, provide appropriate authorisation as per financial procedures, and ensure that contractors' invoices are checked, reconciled, and correctly coded. Working closely with the finance team, you will monitor budgets effectively and assist with year-end financial requirements. You will also ensure each contractor provides regular and accurate financial reporting and forecasting, using this information to aid budget management.
In collaboration with the property services manager, you will produce and monitor relevant monthly KPIs, assist with monitoring all expenditure, process invoices within agreed authorisation levels, and manage the corporate contract register, ensuring contract expiry information, insurances, and accreditations are up to date.
The ideal candidate will:
* Have experience working in a repairs and maintenance function within social housing.
* Have excellent customer service and administrative experience, providing services to residents via telephone, face-to-face, and digital channels.
* Have experience managing and monitoring contractor performance.
* Have experience scrutinising contractors' payment claims and invoices.
* Have experience working with internal and external customers and addressing individual needs.
* Be skilled in managing administrative processes, including maintaining digital and hard copy files and recording accurate records.
* Be able to plan, organise, and prioritise workloads.
* Possess good interpersonal and communication skills (verbal and written).
* Be capable of fostering effective relationships internally and externally.
* Be computer literate, confident in using Office365 and Housing Management software.
* Be self-motivated and a good team player.
You are required to have access to your own vehicle insured for business purposes, with a full UK driving licence.
