Hybrid – 2 days per week in the Vitality Bournemouth Office. Full time, 35 hours per week.

What this role is all about

As part of our Procurement Operations team, you’ll play a key role in keeping everything running smoothly behind the scenes. As a Procurement Administrator, you’ll support the day-to-day delivery of procurement activities, from contract management and supplier onboarding to reporting and operational administration.

You’ll be at the heart of the team, helping to keep our systems, data, documentation and shared inboxes organised and up to date. Your work will enable the wider Procurement function to operate efficiently, ensuring we can deliver the best outcomes for the business and our partners.


Key Actions


Team Support

* Manage and triage the Procurement mailbox, responding to queries, taking appropriate action and escalating where required
* Support the Contracts mailbox, assisting with queries and providing contract-related administrative support
* Lead weekly mailbox review sessions with the Procurement Operations team to track, prioritise and resolve outstanding queriesProvide support on urgent procurement activities, projects and team priorities as requiredAssist with low-value sourcing exercises, including shadowing Procurement Business Partners


Reporting

o Produce and maintain monthly management information (MI), consolidating team inputs and tracking key procurement metrics
o Support the delivery of supplier scorecards, quarterly reporting packs and ad‑hoc reporting requests


Technology & Governance Support

o Create and maintain accurate supplier records within our internal systems, ensuring compliance with processes and standards
o Upload and maintain contracts and related documentation within our Source to Pay system and SharePoint in line with governance requirements
o Keep procurement processes, guidance and training materials up to date and accessible


Procurement Support

o Provide administrative and operational support to enable efficient procurement activities across the team


What do you need to thrive

o Excellent organisational skills with the ability to manage competing priorities and demanding deadlines
o Experience in an administrative or operational support role
o High attention to detail when working with data and documentation
o Clear communication skills and ability to work with a range of stakeholders
o Working knowledge of Excel, Word, PowerPoint, SharePoint, PowerBI and Co‑Pilot
o Some exposure to procurement, sourcing, contract management or legal
o Experience using procurement or supplier management systems
o Interest in developing a career within a procurement function
