JOB DESCRIPTION / PURPOSE:
Our office hosts many visitors for our client on a daily basis. Our goal is to present each with a warm, professional, and discreet experience. The Receptionist is the first voice, face, and service experience for many employees an visitors that are within and outside of our clients’ offices. This candidate needs to complement our motivated and well-rehearsed team and demonstrate qualities that are professional, welcoming and flexible to assist with any visitor needs.
We are looking for a committed and professional individual to join our team on a part-time, permanent basis, working Thursdays and Fridays from 8:00 AM to 5:00 PM, totaling 16 hours per week.
ESSENTIAL DUTIES:
* Administrative Tasks
* Answer reception phones and or support rotating calls if bounced from other office
* General upkeep of office
* Manage room bookings and meeting support
* Refreshment Orders
* Create, maintain and manage staff ID Cards
* Managing distribution and tracking of visitor badges
* Support clients with transportation
* Sort, organize mail
* Raise invoices and chase payments
* Manage shipping and coordinate fleet management
* Support with distribution of IT equipment and collection if asked
* Liaison with landlords’ security or main building reception
* Enter and track work order requests
* Liaison with vendors to provide direction or access
* Any other tasks delegated by Facilities Coordinator
