Position Overview
The Royal Orthopaedic Hospital NHS Foundation Trust is looking for an Administrative Support Clerk to provide administrative support to the POAC team, including both clinical and administrative staff, to ensure effective communication with patients and the multidisciplinary team and to contribute to a positive patient experience throughout the unit.

Key Responsibilities
* Provide administrative support to the POAC Ward Manager, Admin Team and Admin Manager, including printing, photocopying, and filing.
* Provide accurate information for the POAC admin manager and Ward Manager.
* Attend and participate in team meetings and administer admin team/departmental meetings on a regular basis.
* Adhere to Trust policies and procedures, and maintain confidentiality in line with Trust policy.
* Update Synopsis entries to provide the minimum level of information needed.
* Assist patients with completion of their Health Questionnaire on Synopsis, including calling patients to remind them and providing assistance if required.
* Check and cross‑reference upcoming clinics to ensure the majority of patients have completed Health Questionnaires prior to assessments, supporting patient flow.
* Receive incoming calls and recordings, take messages as needed, and liaise with appropriate staff to action those messages.
* Ensure case notes are available for all patients attending the pre‑operative assessment centre, retrieving notes from the medical records library, secretary’s offices, etc.
* Maintain and secure confidential documents, shredding and destroying them in line with Trust policy.
* Accurately input data using a variety of Trust IT systems in a timely manner, strictly adhering to Caldicott and the Data Protection Act.
* Work collaboratively as part of an integrated team, recognising and escalating situations to line manager when appropriate, and taking decisions within the scope of the role.
Person Specification
Experience
* Experience of filing systems.
* Experience of using and entering information into databases.
* Experience of working as part of a team.
* Understanding of and familiarity with using PAS (Patient Administration System) within the NHS.
Qualifications and Training
* Maths and English GCSE – Grade C/4 or equivalent.
Knowledge
* Understanding of client/patient confidentiality and the Data Protection Act 2018.
Other Skills and Attributes
* Excellent verbal and written communication skills in a very visible and busy professional environment.
* Ability to work to policies and protocols within the Pre‑operative assessment department to ensure safe pre‑assessment of patients before surgery.
* Enthusiastic, friendly, polite and willing to learn and adapt to process change.
* Able to work as part of a team and use own initiative.
* Able to prioritise own workload guided by standard operating procedures and policies under the supervision of the POAC Admin Manager.
