Job Description
We are seeking a dedicated administrative support professional to join our multi-disciplinary practice team focused on children and families. The role involves serving as the first point of contact, providing confidential support, maintaining systems and processes, and ensuring compliance with relevant policies and legislation.
Key Accountabilities
1. Manage data quality and records management functions related to children's information, ensuring accuracy and timeliness.
2. Collaborate with practitioners to keep children's information complete, accurate, and up-to-date, including preparation for inspections.
3. Contribute to team meetings by providing statistical updates on caseloads, reviews, and timescales.
4. Maintain systems for statutory requirements such as child protection visits and reviews, and produce reports on activity and performance.
5. Compile and maintain spreadsheets and other documentation.
6. Serve as the first point of contact for enquiries from the public, staff, and partner agencies, handling complex or contentious issues professionally.
7. Engage with partner agencies to facilitate effective information sharing and partnership working.
8. Coordinate participation in panels, group supervisions, and meetings, and build strong working relationships across departments.
9. Uphold excellent customer service standards in all communications.
Knowledge and Experience
* Passion for working with children and young people, with a commitment to improving their outcomes.
* Knowledge of financial systems and processes.
* Effective communication skills for dealing with enquiries from diverse stakeholders, within the Council's Customer Care and Equality & Diversity frameworks.
* Experience in setting up, coordinating, and minuting meetings.
* Administrative and/or business support experience, including minute-taking, finance (purchase orders, invoices), and proficiency in Word and Excel.
Note: Minute-taking experience is essential. The role requires good communication skills, punctuality, attention to detail, and flexibility.
