Overview

Senior Clinical Administrator to join the Liaison Psychiatry Team based in Sheffield. The team is experienced, supportive, and motivated, with a focus on improving service performance and efficiency.

Note: Sheffield Health & Social Care Foundation Trust is currently unable to provide sponsorship for this role in accordance with UKVI guidelines. If you hold a visa that allows work in the UK, you may apply, but SHSC cannot offer sponsorship after your visa expires. You must have at least 12 months remaining on your visa at the start of employment for training and operational reasons. This post has a cap and will close automatically when reached.


Main duties

The successful candidate will provide a comprehensive administrative support service to a multi-disciplinary team. Primary functions include organizing and prioritising clinical admin duties and supporting consultants and other medics, including taking referrals by telephone. You will take clear factual notes for input onto the electronic patient record, so listening skills are essential.

You should be enthusiastic about working in a busy environment, able to remain calm under pressure, and possess excellent communication skills. You should be motivated, able to work independently and as part of a multidisciplinary team, and be able to work with other partnership agencies.

Job Description and Responsibilities

* Use the full Microsoft Office suite (Word, PowerPoint, Excel) and RiO for administrative tasks and information management.
* Maintain diaries/calendars for medics and junior doctors; coordinate team meetings, agendas, and minutes.
* Provide line management supervision for junior administrative staff if required.
* Organise appointments/assessments for medics and clinicians; manage prescriptions as needed.
* Compile MDT lists and share with the clinical lead ahead of MDTs; upload minutes to clinical systems.
* Cover other administrative roles during annual leave or sickness; support duty/triage duties and manage referrals as requested.
* Respond to clinician requests promptly; prioritise workload and adapt to changing demands.
* Manage duty/triage rotas and respond to clinical pathway priorities for urgent referrals and appointment changes.
* Aim to optimise team workload and ensure appropriate support mechanisms and strong working relationships.
* Promote and adhere to the Trust's Confidentiality and Code of Conduct Policy.


Communication/Administrative Support

* Produce regular routine information and reports under Clinical Leads’ direction.
* Develop and maintain efficient electronic filing systems; medical transcription and copy typing as required.
* Prepare documents for external/internal distribution; handle enquiries and liaise with external agencies while maintaining confidentiality.
* Receive, screen, and manage telephone calls and referrals; resolve queries where possible and ensure timely action.
* Record and brief the Senior Practitioner on issues relating to clinical safety, patients, and staff, including complaints.
* Direct outgoing paperwork and electronic mail; communicate system/workload concerns and help implement solutions.
* Maintain organisational and interpersonal skills; strong command of written and spoken English; ability to assimilate and present information.


Planning & Time Management

* Organise meetings, book rooms, arrange hospitality, and support Liaison Psychiatry team meetings; prepare notes, agendas, and minutes for internal and external participants.
* Complete relevant e-forms; maintain electronic diary/appointment system for clinicians as needed.
* Respond to priority tasks within agreed timescales; alert the clinical lead if timescales may be breached; consider patient experience when delays occur.


Finance & Resources

* Prepare invoices and resolve invoice issues; order and receive supplies via NHS procurement systems and non-stock requisitions.


Management/Human Resources

* Manage key administrative areas within the Liaison Psychiatry Service; liaise with staff accordingly.
* Maintain flexible, self-directed workload management within broad procedural guidelines; gather information for governance and performance.
* Assist in recruitment, selection, and induction of admin staff; undertake other duties as agreed.


Service Development

* Propose changes to administrative policies and processes to support smooth operations of the admin function.


Qualifications

Essential

* GSCE Grade C or above in maths and English language
* RSA III Word processing or equivalent typing skills

Desirable

* Knowledge of RiO/SystmOne
* Knowledge/experience of BigHand


Experience

Essential

* Experience in a similar role
* Servicing meetings and minute taking

Desirable

* Experience of working in an NHS environment
* Experience of managing/supervising other staff


Skills

* Communication and interpersonal skills; adaptable to varying demands; responsible approach to confidentiality
* Willingness to learn and acquire new skills; ability to work accurately under pressure and to deadlines
