THE TEAM
On behalf of BCI’s clients, the Infrastructure & Renewable Resources (I&RR) team invests globally in infrastructure assets and businesses that provide stable long-term investment returns. BCI’s I&RR portfolio has $32+ billion in AUM and ranks as the ninth largest institutional infrastructure investor globally. The portfolio spans a range of sectors including energy, transport, utilities, and data infrastructure as well as tangible assets such as timberland and agriculture.
I&RR seeks meaningful investmentspredominantly inprivate companies that allow us to pursue an active governance approach. The team invests in a variety of capacities in private markets including as a sole sponsor, co-sponsor, and very selectively through externally managed funds. In addition, I&RR takes positions in listed infrastructure businesses as well as debt investments as a complementary strategy to private markets investments.
In 2023, the I&RR teamestablishedtheir first international presence with the inauguration of their London, U.K. office. The London office serves as a strong platform for the team to originate and manage investments in the U.K. and European markets, further solidifying BCI's commitment to global expansion and diversification.
THE OPPORTUNITY
This is a 15-month fixedterm contract Administrative Assistant role covering amaternity leave. Reporting to theSupervisor, Business Administration, who also serves as Executive Assistant to the Executive Vice President & Global Head, the Administrative Assistant performs a wide range of administrative functions to support the Infrastructure & Renewable Resources global department. This role focuses on providing administrative support, particularly in travel and expenses management for the department.
The individual in this role must function effectively in a fast-paced environment, adapt to frequent changes in priorities and deadlines, and execute tasks with a high degree of accuracy and attention to detail.
WHAT YOU BRING
1. Post-secondary education with a minimum of 2 to 3 years of administrative support work experience
2. Ability to multitask,demonstrateadaptability when faced with changing priorities, and meet deadlines whilemaintaininga service-oriented mindset
3. Strong organizational, analytical, and problem-solving skills, with high attention to detail to address administrative challenges as they arise
4. Proven background in delivering exceptional customer service
5. A strong teamplayerpossessinga practical, common-sense approach; responsible, reliable, results oriented, and able to take initiative
6. Proficiencyin Microsoft Office, SharePoint, Adobe Acrobat, and other standard office software applications
7. A genuine enthusiasm for emerging technology and AI tools, with a willingness to experiment, learn, and embrace new ways of working that augment and enhance how we support the team
8. Ability to collaborate and foster positive relationships with external contacts and internal staff members
9. Excellent verbal and written communication skills
10. Experience in working on complex travel itineraries
11. Prior experience in a corporate setting is preferred
WHAT YOU GET TO DO
12. Collaborates with the broader admin team to provide travel coordination and process expense reimbursements for team members
13. Coordinates booking of flights, hotels, and ground transportation
14. Processes travel expenses andreconcilestravel-related costs
15. Stays informed on travel risks, restrictions, andspecial requirements, including visa applications and travel documentation; providing updates asrequired
16. Processes team member's general business expense claims for reimbursement
17. Performs monthly reconciliation of corporate credit card expenses
18. Collaborates with the admin team to stay updated on schedules, events, team vacation/travel, and department-wide updates, ensuringtimelydelivery of department communications
19. Contributes toadditionaladministrative services in support of the growth and expansion of the I&RR program, including general clerical services such as printing, photocopying, formatting, scanning, and handling ad hoc requests, with an emphasis on confidentiality
20. Collaborates with the admin team to schedule and coordinate in-person and virtual meetings, including registering and greeting guests, setting up facilities, coordinating catering services, and managing technology requirements
21. Assistsin planning and coordinating department onsite/offsite and team-building events
22. Supports the admin team infacilitatingonboarding and offboarding procedures for new hires and resignations
23. Assistsinmaintainingdepartment-wide media and data subscriptions in collaboration with the admin team
24. Collaborates with the EVP Admin team to provide mutual coverage during absences and leaves, ensuring seamless administrative support
25. Assistswith the team’s transition to the new London office locationthis Fall, providing administrative coordination and on-the-ground support acrosslogistics, setup, and day-to-day operational needs to ensure a smooth and seamless move for all team members
26. Supports andassistswith ad hoc duties and projects asrequired
WHERE YOU WILL WORK
Work fromour central London office(Charing Cross/Westminster area)
Standard office hours are 9.30am - 5.30pm. Some flexible working hours may berequiredto connect with our office in Canada, and to deal with any urgent travel needs that may occasionally occur during evenings and weekends.
