Overview
We are seeking a highly motivated Administrative Officer to support the Children Therapy Service across the Central and West Locality. Based at Minerva Health Centre, the post holder will provide administrative cover across all of the Children Therapy Teams, supporting both planned and unplanned absences. Flexibility to work at other sites is essential to meet the needs of the service.
Responsibilities
* First point of contact for the unit and department.>
* Greeting visitors, ensuring people sign in and are directed to the right area.
* Managing departmental meetings, diary management, room booking and document management.
* Answering telephones, taking and forwarding messages, ensuring a prompt, courteous and well‑informed response.
* Responding to queries, dealing with routine matters and passing more complex queries to the appropriate member of staff.
* Ensuring reception/work area is presentable, well‑organised and confidential information cannot be seen or overheard by visitors.
* Covering reception duties when required and providing day‑to‑day support to clerical officers.
* Receiving, allocating and dispatching departmental mail (internal and external).
* Typing routine information such as reports, minutes and other correspondence on behalf of the manager and team.
* Filing, scanning and storing documents including service user information.
Qualifications
* NVQ Level 3 or RSA 3 business administrative qualification or equivalent experience.
* ECDL or equivalent computer qualification.
* GCSE English Language and Mathematics A‑C or equivalent.
* Minimum of 2 years experience within an administrative role.
* Strong telephone manner, treating people with courtesy and respect at all times.
* Good understanding of Microsoft Office applications, safeguarding agenda and customer service approaches.
* Diary management, minute taking and document management experience.
* Excellent communication skills, both verbal and written.
