Clinical Coordinator Role Summary
The Clinical Coordinator (CC) will support the effective day-to-day running of the counselling service. The CC manages referrals, allocations, routine case reviews, and therapist support, ensuring operational consistency throughout the week. The role also includes maintaining a small therapeutic caseload and supporting service development through audits, feedback, and training activities.
The Clinical Coordinator works closely with the Clinical Lead, who retains responsibility for strategy, governance, commissioner liaison, and complex or high-risk cases.
Key Responsibilities
Referrals, Triage & Allocations
* Lead the triage of new referrals and assign assessments to senior therapists.
* Allocate clients to therapists, balancing caseloads and capacity.
* Monitor waiting lists and flag emerging capacity issues to the Clinical Lead.
* Manage diary cover and therapist scheduling as needed.
Case Reviews & Clinical Support
* Lead routine case reviews and discussions; escalate critical/complex cases to the Clinical Lead.
* Act as the first point of contact for therapist clinical queries, escalating where appropriate.
* Hold a small therapeutic caseload (up to 2 clients) to maintain clinical practice and service insight.
Operational & Administrative Oversight
* Handle therapist queries on admin/logistics (diaries, session notes, cover).
* Respond to third-party requests for case notes (police, legal, external agencies).
* Manage cross-team queries involving admin, ISVA, or therapy coordination.
* Oversee trainee logistics, including rotas, induction, and placements.
Safeguarding & Risk
* Act as the Designated Safeguarding Lead (DSL) for the counselling service, managing day-to-day safeguarding concerns and routine risk cases.
* Record, monitor, and follow up safeguarding cases, escalating complex/high-risk issues to the Clinical Lead.
* Provide advice and guidance to therapists on safeguarding and risk matters.
Service Development & Quality Assurance
* Collate anonymised client feedback and case studies to support monitoring and reporting.
* Support service audits, accreditation preparation, and internal projects.
* Assist in identifying training needs and delivering induction/training support for therapists.
* Contribute to service development discussions and improvement initiatives.
Person Specification
Essential
* Accredited (or working towards accreditation) counsellor/therapist with a recognised professional qualification.
* Minimum three years' post-qualification experience in counselling practice, including work with safeguarding and risk.
* Demonstrable experience managing or coordinating referrals, allocations, or waiting lists.
* Experience supporting or line-managing other counsellors, trainees, or practitioners.
* Confident decision-making in safeguarding and routine clinical risk.
* Strong organisational and communication skills; dependable and calm under pressure.
* Ability to balance clinical duties with operational coordination.
Desirable
* Experience contributing to audits, accreditation, or clinical quality assurance.
* Understanding of information governance and third-party disclosure processes.
* Knowledge of trauma-informed practice and experience working with survivors of abuse.
* Experience delivering training, induction, or supervision within a counselling setting.
