The role will provide an outstanding administrative service to the Estates team ensuring all stakeholders are given a high customer service level. The postholder is a key member of the College secondary response team in the event of an emergency.
Responsibilities
* Undertake a range of tasks related to the Estates team working
* Responsible for the updating and inputting the Estates information as appropriate
* Responsibility for raising purchase orders in line with College policy and financial regulations. Complete confirmation processes when the goods/services are received
* Schedule, file reports and book in service contract works
* Deliver contractor inductions and ensure booking in procedures are
* Providing efficient clerical/administrative support to the Estates team and Manager
* Assisting the Manager and team with the administration of projects
* Responsibility for the administration and compliance with College policies and procedures
* Collecting, opening, stamping and distributing internal and external mail at regular times in order to meet post deadlines
* Maintaining stationery stocks and ordering as and when
* Meeting any audit and risk requirements
* Providing a professional customer service to both internal and external customers as and when required
* Ensuring quality standards for your responsibilities are met and identifying any problems with the manager
* Demonstrating flexibility in responding to changing demands in personal, Estates or the college's workload
* Maintaining strict confidentiality of all information and data within the department both internally and externally
* Attending team and other meetings as and when required
* Carrying out note-taking duties as requested and agreed by the manager
* Take minutes
* Any other such reasonable duties as directed by your line manager commensurate with the level of the post
* Monitor archive storage
* The postholder, if requested, will also work with the Director of Estates and Health and Safety on all health and safety matters including legislation, accident investigations and insurance reports.
The postholder is a key member of the College secondary response team in the event of an emergency.
