Operations Assistant (UK)

Role Purpose:Support day-to-day UK operations by assisting the Operations Coordinator and UK Estimation team, providing accurate and timely warehouse, logistics, and operational information to support quotation accuracy and lead time clarity.
Key responsibilities
Estimation Team Support
* Assist in sharing stock availability and standard lead time information.
* Help prepare packing details (dimensions, weight, box/pallet configuration) under supervision.
* Update tracking information and order status when required.
* Maintain records of estimation-related queries.
* Follow up with the Warehouse Team Leader for basic product information requests.
* Escalate complex or unclear queries to the Operations Coordinator.
Warehouse & Operations Coordination
· Support Goods In and Goods Out documentation processes.
· Update stock and dispatch information in internal systems.
· Assist in monitoring daily warehouse task completion.
· Help prepare basic operational reports and summaries.
· Maintain organized digital and physical documentation.
Logistics & After-Sales Support
* Track deliveries and provide shipment updates internally.
* Assist in documenting returns, damages, and replacement shipments.
* Support coordination with logistics partners under supervision.
Data, Documentation & Reporting
* Ensure accurate data entry in ERP or internal systems.
* Maintain updated stock and dispatch records.
* Support preparation of daily/weekly operational updates.
* Learn and follow internal operational procedures.
Communication & Escalation
* Act as a support link between warehouse and internal teams.
* Ensure timely follow-ups on assigned tasks.
* Proactively report delays or discrepancies to the Operations Coordinator.
* Participate in training to build understanding of warehouse and logistics processes.
Key Skills
· Strong IT skills, proficiency in Microsoft Office (Word/Excel/Outlook)
· Basic understanding of warehouse or logistics processes (Goods In/Out, stock handling, dispatch workflows).
· Strong data entry accuracy and attention to detail.
· Clear, professional communication with both internal and external teams.
· Ability to manage, organize, and prioritize multiple small tasks effectively.
· Knowledge of Dynamics 365 Business Central (BC) would be a strong advantage.
