* About The Role
* We're looking for a proactive and highly organised Executive Assistant to provide maternity cover for 9 to 12 months, supporting the Head of our Real Estate team. This is a varied and fast-paced role, ideal for someone with excellent communication skills, discretion, and the ability to juggle multiple priorities. You'll play a key role in ensuring the smooth day-to-day running of the team, providing high-level administrative support, managing diaries, coordinating meetings, and acting as a key point of contact for internal and external stakeholders.

Responsibilities

* Providing high level executive, research and project support to the Head of Team.
* Proactively overseeing schedules and workload, ensuring the HoT is adequately prepared for meetings, organising meetings, preparing agendas and minute taking.
* Following up pre and post meeting actions and completing tasks as directed.
* Maintaining an overview of all key issues and work requiring attention, prioritising and resolving issues as they arise. Ensuring all tasks and time sensitive matters are completed.
* Developing and maintaining effective systems to organise and deal with the flow of work to and from the Head of Team.
* Collating and circulating papers for Board, Operations Group and Leaders meetings, and preparing other reports as required by the Head of Team.
* Developing and maintaining strong working relationships with all departments, including HR and Marketing.
* Support HR processes to include career development and follow up actions.
* Working with the Academy to ensure team requirements are met, coordinating training, supporting continuous improvement and development.
* Generate reports from the Learning Hub and follow up on any incomplete compliance training.
* Coordinate the effective organisation of events—including conferences, seminars, workshops, and meetings—in collaboration with the Travel team, including completion of BD forms, hotel bookings, and related logistics.
* Manage monthly credit card statements and personal expenses by organising and filing expense reports, ensuring all receipts are accurately documented, and assigning correct budget codes for each transaction.
* Organising team social events.
* Other projects and tasks as directed by the Head of Team.

You'll Need

* Flexible 'can do' proactive approach.
* Good initiative and problem-solving ability - offering solutions and confidently managing upwards.
* Excellent written and oral communication skills.
* Confident communicating at all levels internally and externally.
* Excellent organisational skills, attention to detail, ability to multi-task, prioritise a high-volume workload and work to deadlines.
* Ability to work well under pressure, adapt to changing requirements and see opportunities for improvement.
* Team-focus with a flexible and collaborative approach to working with others, but also the ability to work independently with minimal supervision.
* Strong client focused approach with plenty of drive and enthusiasm to help provide an excellent service.
* Excellent IT skills to include Microsoft Word, Excel, PowerPoint, and Outlook.
