The role combines administrative duties with planning and coordination responsibilities, playing a key part in ensuring the smooth operation of our day-to-day business functions.
Job Purpose:
The Planner/Administrator will be responsible for coordinating schedules, managing data, liaising with internal teams, and supporting business operations through high-quality administrative tasks. This is a pivotal role that requires strong organisational skills, attention to detail, and the ability to work under pressure in a fast-paced environment.
What You'll Do
You'll be the central hub
for our operations team, responsible for:
Planning:
*
Answering incoming calls
as the first point of contact—delivering a warm, professional welcome every time.
*
Planning & scheduling
engineers, materials and jobs to keep projects moving smoothly.
* Reacting quickly to urgent requests and re-prioritising diaries in real time.
* Updating schedules, job sheets and databases with accurate details.
* Handling emails, producing reports and supporting managers with day-to-day admin.
* Liaising with customers, suppliers and team members to confirm timings and next steps.
Administration:
* Handle day-to-day administrative duties including data entry, documentation, and filing.
* Maintain accurate records, logs, and databases.
* Produce reports and presentations using MS Office (Word, Excel, PowerPoint).
* Manage incoming and outgoing communications (emails, calls, mail).
* Support team leaders and managers with ad-hoc administrative tasks.
* Schedule and coordinate meetings, appointments, and travel arrangements.
Skills & Experience Required:
* Proven experience in a planning, coordination, or administrative role.
* Strong IT skills including proficiency in Microsoft Office Suite (particularly Excel).
* Excellent organisational and time management skills.
* High attention to detail and accuracy.
* Ability to multitask and prioritise effectively.
* Strong interpersonal and communication skills.
* Experience using planning or scheduling software is an advantage
