Travel Coordinator UK Defence Academy, Shrivenham, Swindon SN6 8LA Full Time, Permanent (37 hours per week – rota basis) £27,572.50 per annum plus benefits Serco have an exciting opportunity for a Travel Coordinator to join the Support Services team based at the Defence Academy in Shrivenham, Swindon. In this role you will work as part of a team in the customer-facing Travel department, undertaking skilled tasks to ensure the smooth day to day running of the office. As the Travel Coordinator, you will be required to source appropriate services within the contract, research and sense-check itineraries and liaise with suppliers to ensure value for money. You will be responsible for completing day to day travel bookings as well as large group tours in the UK and abroad and work directly with the customer group leader and facilitate/book all travel requirements. The Travel office contracted hours are 0800-1730 Mon-Fri; the team share a working rota of early (0800-1600) and late (0930-1730) shifts. We are seeking an experienced administrative professional with strong attention to detail who thrives in a collaborative environment and is committed to team success. Main responsibilities: Actively engage with induction processes and training to ensure the successful completion of own and colleague's probationary periods. Coach and mentor new colleagues; input into their performance reviews as required. Manage incoming office workflow and allocate work effectively ensuring all KPl's are met. Make key day to day decisions to ensure the customer's Travel requirements are completed within MOD and Serco regulations, liaising closely with internal departments, external agencies/suppliers and customers as required. Take sensible action based on best available information in the absence of customer/Serco management. Undertake the lead Travel team role for specific large group tours as allocated. Provide guidance to the customer on entitlements, submitting requests and travel advice. Production, amendment and maintenance of assigned spreadsheets and databases including uploading to, and manipulation of information within, relevant Defence Academy application sites (iTravel). Complete financial reports such as budget management, monthly spend, reconcile and pay invoices, fuel card management and any other management or customer reports/statistical information that are requested. Provide comprehensive Travel department overviews to non-Travel Serco colleagues and MOD customers; may also be required to present information on Defence Academy travel policy at student inductions. Create, review and update the Travel overview, guides, and other material aimed at directing/training/assisting both customer and Serco on the Travel function. Active participation in further Travel knowledge gain and distribution – including: attending weekly Travel team meetings and JSCSC Coord meetings as required; updating team on general internal/external issues affecting the Travel function as these become apparent; updating internal Comms areas as needed. Undertake/participate in projects to review and develop processes or new ideas to continually improve the Travel service. Ad-hoc Travel duties include: Travel Coordinators may have the opportunity to travel with groups overseas to provide support to the MOD customer. They will work directly with the course leader and work as directed within Serco policy. May be required to attend supplier meetings to review services, or travel events to source additional services. General Serco duties include: Regular reporting, as directed by Team Leader, to ensure awareness of general progress: continual improvements made (Serco) and their impact; successes; added value; issues affecting delivery (including changes in expectation); mistakes made and their resolution. Creation, review and update of any assigned Work Instructions relevant to your role Other duties and responsibilities in support of Serco business, as requested by Serco line manager or senior management. What you'll need to do the role: Good level of general education, with GCSE’s (A-C) or equivalent in English and Mathematics. Professional and engaging communication using a variety of methods (spoken, written). PC literate, with a good level of experience in MS Office including Outlook (essential), Word (essential), Excel (essential), Teams (essential) and PowerPoint (desirable). Previous administration experience; knowledge and understanding of general office practices. Strong interpersonal skills - engaging well at all levels and with different cultures; demonstrating unremitting commitment to delivering customer service and building sound working relationships with key stake-holders based on trust. Good attention to detail; ability to interpret/analyse information and seek clarification by testing understanding; ability to create/contribute to management reports. Ability to work unsupervised and to cope under pressure, balancing conflicting demands of customer and colleagues, maintain composure. Ability to work collaboratively in a team environment or individually. Proactive contribution to meetings – willing to take lead/draft agenda/write minutes or action notes if required. Proven organisational skills, ability to proactively manage departmental workload, delegating responsibility or negotiating deadlines where necessary. To support innovation and continuous improvement; contribute to solving problems and generating ideas; facilitate transformational change. Deliver against own objectives; demonstrate personal drive and self-development. Flexibility and adapts to change. Desirable: Ability to demonstrate previous coaching and mentoring of others. Knowledge of Defence Academy and/or MOD working practices.
